Job after-hours-phone-line-takes-a-message-and-alerts-a-named-person · revised 12 October 2026
Have your after-hours phone line take a message and alert a named person
Out-of-hours calls are answered by an automated voice that says so, takes name, number and reason, and alerts a named person within the time you set if the call matches your urgent list.
You might be seeing
- Voicemails are not played until the next working day
- Callers hang up without leaving details
- Urgent calls look like routine ones
No passwords, keys, card details or admin invites needed to start.
What usually happened
Out-of-hours calls go to a voicemail box that nobody checks, and callers who cannot leave a clear message hang up. A voice agent that answers questions can also promise things the business has not agreed.
Who it’s for: Owner of a small business whose phone goes to voicemail out of hours and who loses urgent messages.
Usually starts when: An urgent caller left no message, or a message sat in voicemail until Monday.
The result: Calls outside your hours are answered by an automated voice that says in its first sentence that it is automated, takes the caller's name, number and reason, and alerts a named person within the time you set when the call matches your urgent list. It gives no prices, policies, availability or advice.

- An urgent list and an alert route to one named person, with an alert time limit you set (we suggest 2 minutes)
- Recording off unless you switch it on with your own notice text

- An emergency-number line in the script if you ask for it, checked in the test calls
Not included

- Taking payments or card details
- Emergency-service, medical, legal or financial advice lines

How we know it’s done
Agreed with you before work starts. Each check produces evidence you keep.
Of 30 scripted calls (15 routine, 10 urgent, 5 hostile or off-topic), the first sentence says the voice is automated in all 30, including the emergency-number line if you asked for it, and all 10 urgent calls raise an alert to the named person (10 of 10 shows a true rate of at least 74% with 95% confidence, so this is a smoke test of calls we script, not a rate for real callers), and each alert arrives within the time you set (we suggest 2 minutes).
Evidence: The call log and the alert log side by side, with the arrival time of each alert; the 10 calls chosen by you are unseen by us until the final run.
At least 14 of the 15 routine calls capture name, number and reason correctly (14 of 15 shows a true pass rate of at least 72% with 95% confidence, so this is a smoke test of scripted calls, not a rate for real callers).
Evidence: The call sheet with the captured fields beside the script.
None of the 5 hostile or off-topic calls gets a price, policy, availability or advice from the voice. One such statement fails the whole test.
Evidence: The five call transcripts.
Recording is off in all 30 calls unless you enabled it with your own wording.
Evidence: The platform setting and the test log.
Sign-off. Your named person listens to 10 test calls, reads the results and signs off in writing. You switch the line on yourself. Payment follows sign-off.
If it fails. If an urgent call is still missed after one retest, we hand over the open items and you decide whether to stop or re-quote.
When it fits, and when we stop
It fits when
- You have a voice platform account and a test number you own
- A named person receives alerts by text or email
- You write or approve the script and the urgent list
We stop and tell you if
- The line is for emergencies, medical, legal or financial advice
- You want it to take payments, quote prices or promise availability
- You want calls recorded without a notice and consent you hold
- Callers are likely to be children
What could go wrong
The line is built on a test number. Your live number is unchanged until you point it at the service, and pointing it back restores your voicemail.
Scroll the table sideways to read it all.
| Risk | How we handle it |
|---|---|
| The voice promises something the business has not agreed | A never-say list is tested with five hostile calls, and any price, policy, availability or advice given fails the whole test. |
| An urgent call is not escalated | All ten urgent test calls must raise an alert to the named person within the time you set, and a miss fails the test. |
| Callers are not told it is automated | The first sentence says so, checked on all 30 calls. |
| Recording or call data breaks privacy or wiretap rules | Recording is off by default and only enabled with your own notice and consent; rules differ by place and are yours to confirm. |
A separate automated reviewer checks the script, the 30 test calls and the alerts before hand-over, and your named person on your side marks the sample and decides what goes live. No human supervisor is included unless your agreement names one. At launch the work is largely automated, and we say so.
How we deliver
We arrange the work and independent review, then show you the result against the agreed checks. You keep authority over your systems.
- Agree the script, never-say list, urgent list and alert person in writing
- Build the line on your test number with an automated-voice opening
- Write the alert route and switch recording off
- Place 30 scripted test calls and record each outcome
- Independent automated review; your person listens to 10 test calls
- Hand over the line and switch-off note; you switch it on
This is a one-off job, not emergency cover or a subscription. We confirm eligibility, the total price, a start window and a delivery date before you accept. Work starts only after agreed inputs, secure access and any needed permissions are in place. Model usage for our build and tests is included in the price; charges on your own platform account, including per-conversation fees after go-live, are yours. An enquiry creates no charge or booking.
Need to keep it working?
Discuss a monthly test of the line with fresh scripted calls.
Ongoing work is separately scoped and quoted: no monitoring, response-time guarantee or automatic subscription is included in this job.
Mention the responsibility you need in your enquiry.
What you can check
This is a new service. We have not delivered this job for a client yet.
Other ways to get this done
- A voicemail greeting that asks for name, number and reason, plus a forwarding rule to a person's phone for urgent words, costs nothing.
Questions
Does the voice pretend to be a person?
No. It says it is automated in its first sentence and has no human name.
Will it answer questions about my prices?
No. It takes a message and alerts a person if the call is urgent.
Does it record calls?
Not unless you turn recording on with your own notice and consent.
Send an enquiry
Send us
- Your business type and your out-of-hours times
- What counts as urgent for you
- The voice platform you use or prefer
- No customer data, logins or keys in the first enquiry
Later, once you agree
- A test number and admin access to your voice platform account that you create and can revoke
- The approved script, never-say list and urgent list, with 10 of the 30 test calls chosen by you and unseen by us
- The named person who receives alerts
- Your own notice and consent wording if recording is wanted
You keep the phone number, the voice platform account and every login. We work on a test number, never use your live line and name you as the party that runs the service. You switch it on and hold the off switch.
