Job cancel-legal-and-safety-messages-flagged-to-a-named-person · revised 12 October 2026
Flag cancel, legal, safety and press messages in your inbox to a named person
Messages that state an intent to cancel, a legal threat, a chargeback, a safety concern or a press enquiry are flagged to a named person with the phrase that caused the flag.
You might be seeing
- Cancel and legal threats sit among routine messages
- Chargebacks arrive with no warning from the inbox
- Nobody senior sees safety concerns quickly
No passwords, keys, card details or admin invites needed to start.
What usually happened
The few messages that matter most, a cancellation, a legal threat, a chargeback warning or a safety concern, read like any other message and wait in the same queue. By the time a person notices, the window to respond well has passed.
Who it’s for: Owner or support lead who misses "I will cancel" and "my solicitor" in a busy inbox.
Usually starts when: A customer announced they would cancel or sue three messages ago, and nobody senior saw it until the chargeback arrived.
The result: Messages that state an intent to cancel, a legal threat, a chargeback, a safety concern or a press enquiry are flagged to a named person with the reason and the phrase that caused it. Flags go to a person only and never trigger an offer, refund or reply.

How we know it’s done
Agreed with you before work starts. Each check produces evidence you keep.
Of 20 planted messages (cancel, legal, chargeback, safety, press), at least 19 are flagged (19 of 20 shows a true pass rate of at least 78% with 95% confidence, so this is a smoke test of messages we plant, not a rate for future mail); no planted legal threat or safety message may be missed, so the one allowed miss is a cancel, chargeback or press message; 8 of the 20 were chosen by you and unseen by us.
Evidence: The 20 planted messages with flag results and the held-back marker.
No more than 4 of 80 ordinary messages are flagged (5%); 30 of the 80 were chosen by you and unseen by us until the final run, and the cap applies to all 80.
Evidence: The false-alarm list with each phrase.
Every flag shows the phrase that caused it and goes only to the named person.
Evidence: Sample flags and the alert log.
Sign-off. Your receiving person reads the results and the false-alarm list and you sign off in writing. Payment follows sign-off.
If it fails. If a planted legal or safety message is still missed after one retest on 10 new planted variants you write, we hand over the open misses and you decide whether to stop or re-quote.
When it fits, and when we stop
It fits when
- Text channels only
- A named person who receives the flags and acts on them
- You can give us a redacted sample of messages and a sandbox or test inbox
We stop and tell you if
- You want voice or emotion detection from audio
- You want a predicted churn score or an automatic retention offer
- Nobody is named to receive flags
What could go wrong
The rules are tested in a sandbox. Nothing in your live inbox changes until you apply them, and removing the rule restores the old behaviour.
Scroll the table sideways to read it all.
| Risk | How we handle it |
|---|---|
| A planted threat is missed | At least 19 of 20 must be flagged and no planted legal threat or safety message may be missed; every miss is listed first and the rule is fixed and retested. |
| Too many false alarms make people ignore flags | No more than 4 of 80 ordinary messages may be flagged, and each flag shows its phrase. |
| A flag triggers an unwanted automatic action | Flags only alert a named person. They never send, refund, discount or reply. |
| Message text carries instructions | Messages are treated as untrusted text and the flagger has no tools beyond one alert. |
A separate automated reviewer checks the misses, the false alarms and the phrases shown before hand-over, and your receiving person on your side marks the sample and decides what goes live. No human supervisor is included unless your agreement names one. At launch the work is largely automated, and we say so.
How we deliver
We arrange the work and independent review, then show you the result against the agreed checks. You keep authority over your systems.
- Agree the flag list, the receiving person and the pass marks in writing
- Write rules or a classifier for each flag type
- Run the 100-message test; record every flag with its phrase
- List every miss and every false alarm
- Independent automated review; your person checks the false alarms
- Hand over the rules and the alert route for you to switch on
This is a one-off job, not emergency cover or a subscription. We confirm eligibility, the total price, a start window and a delivery date before you accept. Work starts only after agreed inputs, secure access and any needed permissions are in place. Model usage for our build and tests is included in the price; charges on your own platform account, including per-conversation fees after go-live, are yours. An enquiry creates no charge or booking.
Need to keep it working?
Discuss a monthly re-test of the flags on fresh planted messages.
Ongoing work is separately scoped and quoted: no monitoring, response-time guarantee or automatic subscription is included in this job.
Explore an ongoing managed lane, or mention the responsibility you need in your enquiry.
What you can check
This is a new service. We have not delivered this job for a client yet.
Other ways to get this done
- Set a saved search for "cancel", "solicitor", "chargeback" and "refund" in your inbox and read it each morning. It is free and finds the plainest cases.
Questions
Does a flag send anything to the customer?
No. A flag alerts one person you name.
Can it spot customers who will leave?
Not this job. It spots messages that say so.
Does it read calls?
No. Text only.
How is this different from the legal-requests job?
This job flags cancel, legal-threat, chargeback, safety and press messages. The legal-requests job stamps a due date on data-access, deletion and opt-out requests.
Send an enquiry
Send us
- Your inbox or help desk and rough monthly volume
- The kinds of message you most fear missing
- Who would receive a flag
- No customer data, logins or keys in the first enquiry
Later, once you agree
- A redacted sample of 80 ordinary messages, 30 of them chosen by you and unseen by us until the final run, and examples of the kinds you want caught
- A sandbox or test inbox and a named receiving person
- Your approved flag list, with 8 of the 20 planted messages chosen by you and unseen by us
You keep the inbox and every login. We work in a sandbox or on a redacted sample, alert only a person you name and never reply to anyone. You apply the rules yourself.
