Job contact-form-enquiries-become-one-tagged-ticket · revised 12 October 2026
Make each contact-form enquiry become one tagged help-desk ticket, with a failure alert
Each valid form submission creates exactly one help-desk ticket with a suggested category and owner, duplicates merge, and a failed hand-off raises an alert to a named person.
You might be seeing
- Form enquiries live in a personal inbox
- A double click sends two enquiries
- A failed form send is noticed days later
No passwords, keys, card details or admin invites needed to start.
What usually happened
A form that only emails someone leaves no owner, no record and no way to know it failed. Tickets created by hand are slow, and a second submission creates a second reply.
Who it’s for: Owner whose contact form already emails someone, and who wants each enquiry to become one owned ticket.
Usually starts when: Form enquiries sit in one person's inbox, double-submits create two replies, and a failed send goes unnoticed.
The result: Each valid submission of one contact form creates exactly one ticket in your help desk with a suggested category and owner. A double submit gives one ticket and a forced failure raises an alert to a named person.
Check whether this job fits
Answer these without sending chats, tickets, files or logins. Nothing is submitted unless you choose to contact us.
What you get
- The form-to-ticket route
- The category and owner rules
- The duplicate rule and the alert
- The 20-submission results
Included
- One form on one site and one help desk with an API or email-in route
- The form-to-ticket route, with a suggested category from rules you approve
- A duplicate rule for double submits within a window you set (we suggest 5 minutes)
- An alert to one named person when the hand-off fails, within a time you set (we suggest 5 minutes)
- 20 synthetic submissions run in a sandbox help desk
Not included
- Replies to the person who submitted
- Forms that take card or health data
- More than one form or one help desk
- Changes to your live help desk before you approve them
- Spam filtering: see the form hardening job
How we know it’s done
Agreed with you before work starts. Each check produces evidence you keep.
20 synthetic submissions create 20 tickets in the test queue with the right fields; 8 of the 20 submissions and their expected category and owner are written by you and unseen by us until the final run, and all 8 land with that category and owner.
Evidence: The 20-row table of submission and ticket, with the 8 held-back rows marked.
A double submit of one synthetic enquiry creates exactly one ticket.
Evidence: The two submissions and the one resulting ticket.
A forced failure of the hand-off raises an alert to the named person within the time you set.
Evidence: The alert message and the time it arrived.
No test submission emailed anyone outside the sandbox.
Evidence: The mail log for the test period.
Sign-off. You read the results and the alert evidence, switch the route on yourself and sign off in writing. Payment follows sign-off.
If it fails. If a submission is still lost or doubled after one retest, we hand over the open failures and you decide whether to stop or re-quote.
When it fits, and when we stop
It fits when
- A help desk with an API or email-in route and a sandbox or test queue
- The form can be changed or its notifications routed by you
- A named person receives the failure alerts
We stop and tell you if
- The form takes card or health data
- No sandbox or test queue exists for the help desk
- The help desk has no way to receive a ticket from outside
What could go wrong
The route is built against a sandbox copy. Your live form and help desk are unchanged until you switch the route on, and switching it off restores the previous email.
Scroll the table sideways to read it all.
| Risk | How we handle it |
|---|---|
| A submission is lost between form and ticket | Twenty synthetic submissions must give twenty tickets, and a forced failure must raise the alert. |
| A double submit creates two tickets | A duplicate rule merges repeated submissions inside a stated window. |
| A real person is emailed by a test | Tests use invented addresses and a test queue, and outside email is off in the sandbox. |
| Form text carries instructions | Submitted text is treated as untrusted, and the category suggestion has no tools. |
A separate automated reviewer checks the 20 results, the duplicate case and the alert before hand-over, and your named person on your side marks the sample and decides what goes live. No human supervisor is included unless your agreement names one. At launch the work is largely automated, and we say so.
How we deliver
We arrange the work and independent review, then show you the result against the agreed checks. You keep authority over your systems.
- Agree the form, categories, owners and alert recipient in writing
- Build the route in a sandbox help desk queue
- Add the category rules and the duplicate rule
- Send 20 synthetic submissions, one double submit and one forced failure
- Independent review of the results and the alert
- Hand over the route and steps to switch it on yourself
This is a one-off job, not emergency cover or a subscription. We confirm eligibility, the total price, a start window and a delivery date before you accept. Work starts only after agreed inputs, secure access and any needed permissions are in place. Model usage for our build and tests is included in the price; charges on your own platform account, including per-conversation fees after go-live, are yours. An enquiry creates no charge or booking.
Need to keep it working?
Discuss a monthly check that the form still creates one ticket.
Ongoing work is separately scoped and quoted: no monitoring, response-time guarantee or automatic subscription is included in this job.
Mention the responsibility you need in your enquiry.
What you can check
This is a new service. We have not delivered this job for a client yet.
Other ways to get this done
- Many help desks give each contact form an email-in address that creates a ticket. Try that first with two test messages.
Questions
Does it reply to the person?
No. It creates a ticket for your team.
Does it use AI?
Category and owner come from the rules you approve. If you choose a language-model step for the category, the page for your quote says so. The route itself is ordinary automation.
Can I use my current form?
Yes if you can change or route its notifications.
Send an enquiry
Send us
- The form's site and platform, and your help desk
- The categories and owners you want
- Who should receive failure alerts
- No customer data, logins or keys in the first enquiry
Later, once you agree
- A test queue in your help desk and a sandbox copy of the form that you create
- The category and owner rules in your own words
- A named alert recipient
- A secure route agreed before any credentials are shared
You keep the form, the help desk and every login. We work on a sandbox copy with synthetic submissions and test queue access you create and can revoke. You switch the route on in your live system.
Email fallback: open your mail app
If website submission is unavailable, review and send the fallback email yourself. An email fallback is not a website receipt. Or write to hello@syntheticindustry.ai with “contact-form-enquiries-become-one-tagged-ticket” as the subject.
