Job it-renewals-calendar-for-domains-certificates-licences-and-warranties · revised 12 October 2026
Put your renewals on one calendar with an owner and a reminder that reached them
Up to 60 renewals (domains, certificates, software, warranties, contract end dates) on one calendar, each with a source, owner and backup, and one tested reminder. Unknown dates are listed.
You might be seeing
- Renewal dates sit in different inboxes, spreadsheets and heads
- The person who set a renewal up has left
No passwords, keys, card details or admin invites needed to start.
What usually happened
Renewals come from registrars, certificate providers, software vendors and suppliers, each with its own email. No one place shows them all, so the reminder goes to a person who may have left or to an inbox nobody reads.
Who it’s for: Office manager or owner after a domain, certificate or licence lapsed without anyone noticing.
Usually starts when: Something expired last quarter, or a renewal invoice arrived as a surprise.
The result: You receive a register of up to 60 renewals, each with a source document, expiry date, owner and backup, and a calendar file with reminder dates. Your admin sets a deliberate test reminder for the owner and the backup, and both confirm they received it. Dates we cannot find are listed as unknown.

How we know it’s done
Agreed with you before work starts. Each check produces evidence you keep.
Every register item has a source, an expiry date and an owner and backup, or is listed as unknown with the reason.
Evidence: The register and the unknown list.
A deliberately set test reminder reaches both the owner and the backup, and both confirm it.
Evidence: The two confirmations.
A re-check of 20 items chosen by your owner after hand-over, against the original documents, finds every date correct.
Evidence: Your marked sample.
Sign-off. Your named owner checks the sample and signs off in writing. The register is correct at its date and goes stale after. Payment follows sign-off.
If it fails. If a test is not met, you do not pay for this fixed scope. We hand over what we found and agree whether to stop or re-quote; no surprise work.
When it fits, and when we stop
It fits when
- You can send invoices, exports or renewal emails for the items
- A named owner and backup exist for the items, or you give us who they should be
- Contract notice periods are taken from your documents, not inferred
We stop and tell you if
- Most items have no document that shows a date
- You want us to renew or negotiate
- The owners refuse reminders
What could go wrong
This job reads files you send and writes a report. It changes nothing in your systems, so there is nothing to revert. Our copies of your files are deleted when the job ends.
Scroll the table sideways to read it all.
| Risk | How we handle it |
|---|---|
| A date is read wrongly from a document. | Every date shows its source line, and a 20-item re-check compares them with the originals. |
| Reminders go to someone who ignores them. | The test reminder must be confirmed by both people, and a miss is reported. |
| A notice period is misread. | We state dates exactly as the document does, flag anything that needs interpretation and give no advice. |
A separate automated reviewer checks every output against the agreed test before hand-over. No person on our side reviews unless your agreement names one. Your named owner approves what is used.
How we deliver
We arrange the work and independent review, then show you the result against the agreed checks. You keep authority over your systems.
- Agree the item types, the owner rule and what counts as a renewal
- Read each document and record source, expiry and notice period
- Apply your owner rule; list unowned items for you to name
- Build the calendar file; your admin imports it and sets a test reminder
- Separate automated review; owner and backup confirm the reminder
- Hand over the register, calendar and unknown list; delete our copies
This is a one-off job, not emergency cover or a subscription. We confirm eligibility, the total price, a start window and a delivery date before you accept, and an enquiry creates no charge or booking. Work starts only after agreed inputs, secure access and any needed permissions are in place.
Need to keep it working?
Discuss a monthly check that keeps the register true.
Ongoing work is separately scoped and quoted: no monitoring, response-time guarantee or automatic subscription is included in this job.
Explore an ongoing managed lane, or mention the responsibility you need in your enquiry.
What you can check
This is a new service. We have not delivered this job for a client yet.
Other ways to get this done
- A shared calendar with one entry per renewal and two invitees does most of this for free if someone keeps it up to date.
- Registrars and certificate providers send their own reminders. Check they go to a shared address.
Questions
Do you renew things for me?
No. You renew. We list what renews and when, and your calendar reminds the people you name.
Is this the same as your domain service?
No. That covers web domains and DNS. This covers up to 60 renewals across the business, with an owner, and contract end dates only; for notice clauses quoted from a contract see the contract key dates job.
Does it stay up to date?
Not by itself. A monthly check is available as a separate service.
Send an enquiry
Send us
- The kinds of items: domains, certificates, software, warranties, contracts
- Roughly how many of each
- Who gets renewal emails today
Later, once you agree
- Registrar and certificate exports, invoices and renewal emails, with card numbers removed
- An owner and a backup for each item, or the rule for choosing them
- A named admin who imports the calendar and sets one test reminder for the owner and backup
- The agreement that names the model provider, its country and how long it keeps data, settled before any real personal data is shared
You keep every account and every renewal. We work from documents and exports you send and change nothing at any vendor. We state dates from your documents and give no advice on contracts.
