Job people-hr-inbox-questions-sorted-with-handbook-drafts-for-your-hr-person · revised 12 October 2026

Sort a sample of past HR messages and draft handbook replies for your HR person to send

Past HR inbox questions sorted by type, with a draft reply quoting the handbook for questions it answers and no draft at all for individual cases, for your HR person to read and send.

You might be seeing

  • The same reply is typed again and again
  • A sensitive message sits in the same queue as a routine one

No passwords, keys, card details or admin invites needed to start.

What usually happened

An HR inbox mixes routine handbook questions with individual cases about pay, health and complaints. Treating them alike either wastes time on the routine ones or risks an automated reply to a sensitive one.

Who it’s for: HR or office lead who answers the same handbook questions by email and wants drafts, not a bot talking to staff.

Usually starts when: Half the HR inbox is questions the handbook already answers, and the other half need a person.

The result: Each message in a redacted sample of your past inbox gets a type, and for questions the handbook answers, a draft reply quoting the section. Individual cases and sensitive messages get no draft and go straight to your HR person. Nothing is sent by us, and drafts go to HR staff only.

What you get

  • The sorted message sheet
  • The draft replies with sections quoted

  • Your current handbook as the only source for drafts
  • A draft reply with the section quoted, only where the handbook answers the question
  • A no-draft route for individual cases, pay, health, discipline, grievances and legal questions
  • A test on 100 messages your HR person labels: 30 individual or sensitive, 30 the handbook answers and 40 of other kinds, with 40 of the 100 (12, 12 and 16) kept by your HR person until the test run

Not included

  • Sending any reply
  • Access to your inbox or personnel records
  • Drafts for individual cases
  • Legal or HR advice

How we know it’s done

Agreed with you before work starts. Each check produces evidence you keep.

  1. On 100 past messages your HR person labels, 40 held back from us until the test run, the type matches your HR person's label on at least 92 of the 100 and on at least 37 of the 40 held-back messages on their own (81% as the lowest rate the held-back result supports at 95% confidence), counting unsure as a miss.

Evidence: The result sheet with your label for each message, and the results for the 40 held-back rows.

  2. All 30 messages you mark as individual or sensitive, including the 12 held back, get no draft and are routed to your HR person; one draft for any of them fails the whole test.

Evidence: The results for those 30 rows.

  3. At least 27 of the 30 messages the handbook answers, and at least 10 of the 12 held back, get a draft quoting the correct section, and no draft states a policy that is not in the handbook; one that does fails the whole test.

Evidence: The drafts beside the sections quoted.

  4. Nothing was sent to any person by us, and every draft is marked as a draft for HR staff.

Evidence: The draft header text and your mail audit log.

Sign-off. Your HR person reads every miss and signs off in writing. The result describes messages like the sample, not every future message, and the 12-message held-back checks are smoke tests: 12 of 12 shows only that the true rate is at least 77% at 95% confidence. Payment follows sign-off.

If it fails. If a test is not met, you do not pay for this fixed scope. We hand over what we found and agree whether to stop or re-quote; no surprise work.

When it fits, and when we stop

It fits when

  • The handbook is current and has one named owner
  • Your HR person redacts names and details from past messages before sending
  • Messages containing health details are excluded or removed by you, and the 30 sensitive test examples are invented or fully redacted
  • Two people agree on the type for 50 sample messages at least 85% of the time

We stop and tell you if

  • You want replies sent to staff without a person reading them
  • The handbook is out of date or contradicts itself
  • Real messages still hold health or complaint details after redaction; the sensitive test examples may be invented

What could go wrong

This job reads files you send and writes a report. It changes nothing in your systems, so there is nothing to revert. Our copies of your files are deleted when the job ends.

Scroll the table sideways to read it all.

RiskHow we handle it
A draft answers a sensitive case as if it were routine.Thirty messages you mark as individual or sensitive must all get no draft, or the whole test fails.
A draft states a policy the handbook does not hold.Every draft must quote a section a checker can open, and one invented policy fails the test.
A message holds health or complaint details.Such messages are excluded or redacted by you, and nothing is logged beyond the test window.

A separate automated reviewer checks every output against the agreed test before hand-over. No person on our side reviews unless your agreement names one. Your named HR person approves what is used.

How we deliver

We arrange the work and independent review, then show you the result against the agreed checks. You keep authority over your systems.

  • Agree the types, the no-draft rules and the handbook as sole source
  • Two of your people label 50 messages; we check they agree
  • Build the sorting and drafting rules on the 60 visible labelled messages only
  • Run the 60 visible, then the 40 held back, and record every miss
  • Separate automated review of sections quoted and of the no-draft list
  • Hand over the sheet, drafts and steps to switch it off

This is a one-off job, not emergency cover or a subscription. We confirm eligibility, the total price, a start window and a delivery date before you accept, and an enquiry creates no charge or booking. Work starts only after agreed inputs, secure access and any needed permissions are in place.

Need to keep it working?

Discuss a monthly check that re-tests the drafts when the handbook changes.

Ongoing work is separately scoped and quoted: no monitoring, response-time guarantee or automatic subscription is included in this job.

Explore an ongoing managed lane, or mention the responsibility you need in your enquiry.

What you can check

This is a new service. We have not delivered this job for a client yet.

Other ways to get this done

  • Keep a short set of saved replies for the ten commonest questions in your mail tool. It is free and needs upkeep.
  • If your HR suite includes a drafting assistant for HR staff, test it on the same 100 messages.

Questions

Will it reply to staff by itself?

No. Drafts go to your HR person, who reads and sends.

What about sensitive cases?

They get no draft and go straight to your HR person.

Does it read our inbox?

No. We work from a redacted sample you send.

Send an enquiry

Send us

  • Roughly how many HR messages arrive each month
  • The types you use today
  • The handbook page count and format

Later, once you agree

  • Up to 150 redacted past messages, including 60 labelled ones, through an agreed secure route; the other 40 labelled messages stay with your HR person
  • The handbook files and the types list
  • 100 messages labelled by your HR person: 60 sent to us, and 40 kept by your HR person until the test run
  • The agreement that names the model provider, its country and how long it keeps data, settled before any real personal data is shared

You keep the inbox and send every reply. We work from a redacted sample, not from the live inbox, and return a sheet of types and drafts. Drafts are for your HR person only and never go to the sender.

A public HTTPS link only, without login details, query strings or fragments. No code or logs.

Sending emails your enquiry and contact address to our team through our mail provider (Resend). It is not kept in a website database.
