Job people-starter-task-pack-per-role-tested-on-a-dummy-starter · revised 12 October 2026
Give every new starter a task checklist per role, tested on a dummy starter
A checklist for each role with an owner and a due-date offset for every task, loaded into your own tool and checked by creating a dummy starter that a manager follows unaided.
You might be seeing
- Each starter gets a slightly different first week
- A task is missed because nobody knew it was theirs
No passwords, keys, card details or admin invites needed to start.
What usually happened
Starter tasks live in one person's head and in old emails. When that person is away, accounts, equipment and introductions are late and nobody can tell which step was missed.
Who it’s for: Manager of a growing team where starting a new person depends on what one colleague remembers.
Usually starts when: The last starter had no laptop on day one, or the next one is a week away and nobody has a list.
The result: Each role you name has a checklist where every task has an owner and a due date counted from the start date. Your person loads the checklists as a template in your own tool. A dummy starter created from the template produces every task with the right owner and date.

How we know it’s done
Agreed with you before work starts. Each check produces evidence you keep.
A dummy starter created from the template in your own tool produces every task on the role checklist, each with the owner and due date in the owner map.
Evidence: The created task list set against the checklist.
Your manager follows the dummy starter without our help and finds no step that needs explaining.
Evidence: Your manager's notes and the count of questions asked.
Every task has exactly one owner, given as a role or team, and no task names a person.
Evidence: The owner map and a search of the template.
Sign-off. Your named manager runs the acceptance tests, reads every failure and signs off in writing. The result describes items like the sample, not every future item. Payment follows sign-off.
If it fails. If a test is not met, you do not pay for this fixed scope. We hand over what we found and agree whether to stop or re-quote; no surprise work.
When it fits, and when we stop
It fits when
- You use a tool that can copy a template of tasks: a spreadsheet, Notion, Asana or an HR system
- One person on your side can load the template and approves the owner map
- You give your own steps for contracts and right-to-work checks; we list them but do not write them
We stop and tell you if
- No tool can hold a task template and you do not want to choose one
- You want legal paperwork written for you
- Nobody can be named as owner for most tasks
What could go wrong
This job reads files you send and writes a report. It changes nothing in your systems, so there is nothing to revert. Our copies of your files are deleted when the job ends.
Scroll the table sideways to read it all.
| Risk | How we handle it |
|---|---|
| A task that matters is left off the list. | You review every checklist, and the dry run shows what your manager had to ask about. |
| The list drifts out of date as the team changes. | Each task has an owner and the pack names one role to review it; a monthly check is a separate service. |
| Real personal details end up in the template. | The template and the dry run use an invented starter only. |
A separate automated reviewer checks every output against the agreed test before hand-over. No person on our side reviews unless your agreement names one. Your named manager approves what is used.
How we deliver
We arrange the work and independent review, then show you the result against the agreed checks. You keep authority over your systems.
- Agree the roles, your tool and the owner for each task area
- Draft one checklist per role from your notes, with owners and due offsets
- You review each checklist and strike or add tasks
- Your person loads the template and creates a dummy starter
- Your manager follows the dummy starter without our help; we record gaps
- Fix gaps, hand over the template and the dry-run record
This is a one-off job, not emergency cover or a subscription. We confirm eligibility, the total price, a start window and a delivery date before you accept, and an enquiry creates no charge or booking. Work starts only after agreed inputs, secure access and any needed permissions are in place.
Need to keep it working?
Discuss a quarterly review of the checklists when roles or tools change.
Ongoing work is separately scoped and quoted: no monitoring, response-time guarantee or automatic subscription is included in this job.
Explore an ongoing managed lane, or mention the responsibility you need in your enquiry.
What you can check
This is a new service. We have not delivered this job for a client yet.
Other ways to get this done
- Free onboarding checklist templates exist and are a good start. This job adds your own roles, an owner for every task and a dry run in your own tool.
- If your HR system has an onboarding module, set it up with the same task list instead.
Questions
Do you need our real starters' details?
No. The dry run uses an invented starter.
Will you write the contract or right-to-work steps?
No. We list them as tasks with an owner. Your adviser decides what they say.
Is it only for new starters?
This pack is for starters. Leavers and movers are covered by the joiner, mover and leaver runbook.
Send an enquiry
Send us
- The roles you hire for and roughly how many starters a year
- The tool you use for tasks
- Your current first-week list, however rough, with no names
Later, once you agree
- Redacted notes or emails about past starts
- A named manager who runs the dry run
- A person who can load the template into your tool
- The agreement that names the model provider, its country and how long it keeps data, settled before any real personal data is shared
You keep your tool and your admin rights. We hand over the template and the person on your side loads it. The dry run uses an invented starter, never a real person.
