Job people-training-completion-chase-list-from-your-lms-export · revised 12 October 2026
List who is overdue on required training from your system's export, with draft reminders
From your training system export and your rule for who must take what and by when, a list of overdue items with the rule line cited and short reminder wording for managers to send.
You might be seeing
- Each manager is chased with a different message
- The export lists courses done but not who is overdue
No passwords, keys, card details or admin invites needed to start.
What usually happened
Training systems record what was completed, not what is overdue under your own rules. Working out who should have done what, and by when, is a monthly spreadsheet exercise.
Who it’s for: Office or compliance lead who chases required training by hand every month.
Usually starts when: An insurer or customer asked for proof that required training is up to date, and the export does not show it plainly.
The result: You receive a list of each person and course that is overdue under your written rules, with the rule line and the export row cited. Short reminder wording for each manager is drafted for them to send. We send nothing and the list is a checklist, not an assessment of anyone.

How we know it’s done
Agreed with you before work starts. Each check produces evidence you keep.
On 30 synthetic records with 8 overdue items planted by your trainer, all 8 are found and no up-to-date record is listed.
Evidence: The planted list beside the overdue list.
Your admin recomputes 20 rows from the export and rule table and each matches the list.
Evidence: Your recomputation of the sample.
Every row cites a rule line and an export row, and each draft reminder contains only the person code, course and due date.
Evidence: The list columns and the drafts.
Sign-off. Your training owner checks the sample and signs off in writing. We send nothing, and the 30-record test is a smoke test. Payment follows sign-off.
If it fails. If a test is not met, you do not pay for this fixed scope. We hand over what we found and agree whether to stop or re-quote; no surprise work.
When it fits, and when we stop
It fits when
- Your training rules are written with a due window
- The export has person, course and completion date
- Names are replaced by codes before sending
- A named person decides whether to chase
We stop and tell you if
- The rules are not written
- You want the list used to judge performance or conduct
- The system cannot export completion dates
What could go wrong
This job reads files you send and writes a report. It changes nothing in your systems, so there is nothing to revert. Our copies of your files are deleted when the job ends.
Scroll the table sideways to read it all.
| Risk | How we handle it |
|---|---|
| A rule is read wrongly and the wrong people are listed. | You approve the rule table first, and the seeded test checks the result. |
| The list is used to judge people. | It names an overdue item and a rule, never a person's attitude, and we stop the job if asked to rate people. |
| A reminder reaches the wrong manager. | We send nothing. The sender checks each draft. |
A separate automated reviewer checks every output against the agreed test before hand-over. No person on our side reviews unless your agreement names one. Your named training owner approves what is used.
How we deliver
We arrange the work and independent review, then show you the result against the agreed checks. You keep authority over your systems.
- Agree the rule table and what overdue means for each course
- Read the rules into a table you approve line by line
- Compute overdue items by script from the export
- Draft reminder wording per manager with person code, course and due date only
- Separate automated review of the list against the rules
- Hand over the list and wording; delete our copies
This is a one-off job, not emergency cover or a subscription. We confirm eligibility, the total price, a start window and a delivery date before you accept, and an enquiry creates no charge or booking. Work starts only after agreed inputs, secure access and any needed permissions are in place.
Need to keep it working?
Discuss a monthly repeat of the list.
Ongoing work is separately scoped and quoted: no monitoring, response-time guarantee or automatic subscription is included in this job.
Explore an ongoing managed lane, or mention the responsibility you need in your enquiry.
What you can check
This is a new service. We have not delivered this job for a client yet.
Other ways to get this done
- Most training systems can send overdue reminders themselves. Turn that on in yours first.
- A pivot table of completion dates against due dates finds overdue items in a spreadsheet.
Questions
Will you send the reminders?
No. We draft wording and the manager sends it.
Is this a performance report?
No. It is a checklist of overdue items under your rules.
Does it work with any system?
It works from any export with person, course and completion date.
Send an enquiry
Send us
- Your training system and the courses that are required
- Who each course applies to and its due window
- The columns the export has
Later, once you agree
- The export with person codes, through an agreed secure route
- The approved rule table
- A seeded file of 30 records with 8 overdue, the answers kept by your trainer until the test run
- A manager for each person code
- The name of the person who sends reminders
- The agreement that names the model provider, its country and how long it keeps data, settled before any real personal data is shared
You keep the training system and send every reminder. We work from a coded export and change nothing. Reminder wording is a draft for the sender.
