Standing service

Get your weekly or monthly report pack built from your standard export

Each period we turn the export you send into the same formatted report pack, check its totals against the export and note anything odd, month after month.

This asks for a proposal by email. Nothing is charged, no export is processed and no service starts until we have agreed scope, terms and a secure way to send each period's export in writing. If we cannot offer a way you are comfortable with, we decline and nothing is charged.

The responsibility you hand over

A recurring report built by hand is never quite the same twice. A filter is missed, a range leaves out the new rows, a date boundary moves or a pasted value replaces a formula. Only the finished pack is seen, so errors reach readers before anyone notices, and the method lives in one person's head.

Who it’s for: An operations lead, office manager or finance administrator who spends hours each week or month turning an export into the same report.

Usually starts when: The report is built by hand from the same kind of export every period, takes hours, and has gone out with a wrong total before.

The result: Each period the pack reaches you in the agreed layout, built from that period's export by the same written steps, with each control total matched to the export and a short note of anything that changed or looked odd.

What stays true, and what we do about it

No turnaround guarantee is published for this new service. A target for when a pack is delivered after the export arrives is agreed in writing before it starts, set to what a service at this stage can keep.

Working hours and the day each export is due are agreed in writing before the service starts. At launch the service is not staffed round the clock, so we do not offer round-the-clock cover.

What must remain true

  • Each period's pack is built from that period's export by the same written rules
  • Every control total in the pack equals the same total worked out directly from the export
  • Anything unusual in an export, such as a new category, missing rows or a changed column, is reported and never silently absorbed

  • The rule sheet agreed in the first month: periods, filters and definitions

  • The export changes shape or arrives incomplete
  • The export contains personal data about individuals, which this service does not take

How you know it held. Each period's note lists the row counts and control totals and how they match the export, and you can recompute any total from the export yourself. A monthly summary lists the packs delivered and every exception.

How we keep it true

This service is never finished. Each period's note shows whether the pack was built and checked, and it continues until you end it.

What is included, and what is not

  • One report pack from one export of one system (up to 20,000 rows), built as one Excel workbook (.xlsx) from your approved template, with up to six tables or charts agreed in the first month
  • A first-month set-up: the layout, the written rules for periods, filters and definitions, and the control totals
  • Each period: receive the export through the agreed route, build the pack by the written rules, check each control total against the export and deliver the pack with a note
  • One monthly pack is covered by the starting price. Weekly packs, up to four in a month, are agreed and quoted separately, because the checks repeat each week

Not included

  • Sending the pack to anyone else, presenting it or explaining it to your readers
  • Changing a definition, filter or period boundary without your approval
  • Correcting or excluding rows of the export, which stays your decision
  • Exports that hold personal data about individuals, which this first version of the service does not cover
  • Dashboards, live system connections or anything that runs without your export
  • Legal, financial or tax advice, or a guaranteed delivery time

How we know it’s done

Agreed with you before work starts. Each check produces evidence you keep.

  1. For each pack, every control total in the pack equals the same total calculated directly from that period's export.

    Evidence: The period note listing each control total, the export-calculated value and a match mark.

  2. The first and last record dates and the row count of the data used in each pack equal those in the period's export, under the written period rule.

    Evidence: The period note with dates and row counts for the export and the pack.

  3. Each pack matches the approved template: the same sheets in the same order, the same table and chart titles and column headings, and the same column order, with only the data and the period label differing.

    Evidence: A layout checklist filled in for each pack against the approved template, kept with the period note.

  4. Each month's summary lists every pack delivered, every unusual row or format found and how it ended.

    Evidence: The monthly summary, which you can compare with your own record of exports sent.

Sign-off. You read each pack and its note, and ask us about anything unclear. A pack counts as delivered when you accept it, and you can end the service at the end of any month.

If it fails. If we cannot reconcile a total or build a pack from an export, we say so, explain what we found and what it would take, and the pack does not count as delivered. If the service is not working for you, you can end it at the end of any month.

When it fits, and when we stop

It fits when

  • The export has the same columns every period, and we agree with you in writing, before the service starts, a secure way to send it each period
  • The pack shows summary business figures such as counts and totals, not data about individual people
  • A named person on your side reads each pack and answers our questions

We stop and tell you if

  • The export changes shape so often that no rules agreed in advance can cover it
  • The export holds personal data about individuals
  • The export stops arriving or packs are not read; we end the service at month-end rather than invent figures
  • No secure way to send each period's export can be agreed in writing; the service does not start and nothing is charged

What could go wrong

Packs are new files and nothing in your own systems is changed. Ending the service leaves you with the template, the rule sheet and every pack delivered.

A pack is built from the wrong or an incomplete export.Row counts and the first and last record dates are checked against the rule sheet before anything is built, and a mismatch stops the build.
A rule goes stale when your business changes a definition.We never change a definition ourselves. You approve each change, and the note records which rule version built each pack.
Personal data appears in an export.The service is for summary business exports. If personal data appears, we stop, do not process it and agree with you how the file is returned or deleted.

Each pack is checked by a reviewer separate from the work that produced it before it is sent. No human supervisor is included unless your agreement names one. At launch much of the work is automated, and we say so.

Stays with a person

  • You approve any change to a definition, filter or layout
  • You read each pack before it goes anywhere else

Access we would need

  • A secure route for each period's export, agreed in writing before the service starts; without one the service does not start
  • No access to your live systems

Questions

How is this different from buying a one-off fix?

A one-off job repairs or converts one file once. This is a standing responsibility: each period we build the same pack from the new export and check it, month after month.

Do you connect to our systems?

No. You send an export each period through an agreed secure route. We never touch your live systems.

What if the export changes?

We stop, tell you what changed and propose a rule update for your approval. We never guess a new rule.

What if you cannot offer a secure way to send the exports?

Then we decline and nothing is charged. No upload portal exists yet. A route is agreed with you in writing before the service starts, and the service cannot begin without one.

Do you build weekly packs for the starting price?

No. The starting price covers one monthly pack. Weekly packs, up to four a month, are quoted separately because the checks repeat each week.

Later, once you agree

  • Written definitions for periods, filters and each figure, and who approves changes to them
  • The day each period's export will arrive and who receives the pack

You keep ownership of every file we work on and of what we return. No upload portal exists yet, and the first enquiry never includes documents: send a description, counts and an invented or redacted sample only. The service cannot start until we have agreed with you, in writing, a secure way to hand over each period's files, who may see them, how long we keep them and how we delete them. If we cannot offer a way you are comfortable with, we decline and nothing is charged. Files may be handled by automated software, including services run by other companies, and we tell you which in writing before any file moves. We work on copies, never on your only original, and we do not send, publish or contact anyone for you.
