Putting AI call notes in your CRM: the notice and consent you need first

What UK rules ask of a business recording calls, the US lawsuit about notetaker bots, and what HubSpot already offers, before you build anything.

Notice comes first

UK rules ask a business that records calls to have a permitted purpose and to make all reasonable efforts to inform every user of the system. In the US, a lawsuit filed in August 2025 alleges that a notetaker recorded people who were not account holders; these are allegations, not a ruling. Whatever tool you use, tell every participant before every call.

Check what you already have

HubSpot offers an AI call summary for Sales Hub or Service Hub Professional or Enterprise seats with call recording and Breeze Assistant switched on, and leaves call-recording law to a separate article. If your plan has it, try it first. A job that adds value on top matches each call to the right contact and deal, writes the note once, and alerts a person when a write fails.

  • Match by email or phone, or send to an "unmatched" list.
  • Label the note as machine-written.
  • Never score emotion from voice.

Test with scripted calls

Use calls your own staff script, with the reference notes they write and we do not see until the run. Deliver the same call twice and check there is one note. Include calls where no price is said and check no price appears.
