Job call-notes-added-to-the-right-crm-record · revised 12 October 2026
Put each call summary on the right contact and deal, once
Each recorded call from the recorder you already use appears once as a labelled note on the right contact and deal. An unknown attendee goes to a list, not a guess.
You might be seeing
- A deal has no note after three calls
- A summary lands on the wrong contact
No passwords, keys, card details or admin invites needed to start.
What usually happened
Reps skip logging calls. A tool that pushes summaries into the CRM can attach them to the wrong person, add the same note twice or write a price nobody said. A failed write is silent, so the gap is found weeks later.
Who it’s for: Sales manager whose reps do not log calls.
Usually starts when: Call notes live in reps' heads or in a recorder's own page, and nobody can find them in the CRM.
The result: Each recorded call from the recorder you already use appears once as a note on the right contact and deal, labelled machine-written, with the summary, decisions and next steps. Nothing else on the record changes.

How we know it’s done
Agreed with you before work starts. Each check produces evidence you keep.
Each of 20 scripted test calls lands once on the right contact and deal, and the same call delivered twice makes no second note.
Evidence: The 20 calls and the resulting notes.
An attendee who matches no contact goes to the unmatched list and gets no note.
Evidence: The unmatched list.
Your staff write the 20 scripts and the reference notes, and we do not see the reference notes until the run. At least 18 of the 20 calls capture every next step, price and date in your reference notes. A price, date or name in a note that is not in the call, or a note on the wrong contact, fails the whole test; 18 of 20 shows a true rate of at least 71% with 95% confidence, for calls like these.
Evidence: The reference notes, the output and the list of errors found.
A deliberately failed write alerts a named owner.
Evidence: The alert received.
Sign-off. You re-run the test yourself, check the list of severe errors and sign off in writing. Payment follows sign-off.
If it fails. If the agreed pass mark is not met, we say so, hand over the results and the failures, and do not call the output working. You do not pay for this scope; we agree whether to stop or re-quote.
When it fits, and when we stop
It fits when
- Notice and consent for every call are already in place: UK businesses must make all reasonable efforts to inform users, and US all-party-consent states carry their own risk
- The recorder does not train on your audio
- Calls can be matched by email or phone to a contact
We stop and tell you if
- Participants cannot be told, or a bot joins without notice
- The recorder's provider may train on the audio
- You want a guess when the attendee is unknown
What could go wrong
You switch the workflow off. Notes it wrote carry a machine-written label so they can be found and removed.
Scroll the table sideways to read it all.
| Risk | How we handle it |
|---|---|
| Recording without notice breaks consent rules | Notice and consent are an entry condition and we stop if participants cannot be told. |
| A note carries a price or date nobody said | Trap calls must produce no price or date, and notes are labelled machine-written. |
| A write fails silently | A failed write alerts a named owner, and the test proves it. |
A separate automated reviewer checks the notes, the matches and the failure alert before hand-over, and no person on our side reviews unless your agreement names one. Your named person reads every note for the first 14 days after you switch it on. At launch the work is largely automated, and we say so.
How we deliver
We arrange the work and independent review, then show you the result against the agreed checks. You keep authority over your systems.
- Agree the matching rules, the note format and the pass marks in writing
- Connect the recorder test account and the test portal under your accounts
- Run your 20 scripted calls, including a repeat delivery and unknown attendees
- Run the 5 trap calls where no price or date is said
- Independent automated review of notes, matches and the failure alert
- Hand over the workflow; you switch it on
This is a one-off job, not a subscription or emergency cover. We confirm eligibility, price, a start window and a delivery date before you accept, and work starts only after agreed inputs and access are in place. Nothing is sent, merged, posted or changed in your live systems by us, and an enquiry creates no charge or booking.
Need to keep it working?
Discuss a monthly re-run of the scripted calls and the failure alert.
Ongoing work is separately scoped and quoted: no monitoring, response-time guarantee or automatic subscription is included in this job.
Mention the responsibility you need in your enquiry.
What you can check
This is a new service. We have not delivered this job for a client yet.
Other ways to get this done
- If your CRM plan includes call summaries, turn them on and check them first. They may cover your case. knowledge.hubspot.com
Questions
Do you record our calls?
No. We configure the recorder you already use.
What if two calls are delivered twice?
The second delivery makes no new note. We test that.
Does it judge how people sounded?
No. No emotion or sentiment scoring of anyone from voice.
Send an enquiry
Send us
- The recorder and the CRM
- How many calls a week and how contacts are matched today
- How participants are told that a call is recorded
Later, once you agree
- Scripted test calls and reference notes written by your staff
- A test portal and a recorder test account, connected by you
- A secure handoff route agreed before any real call is processed
You connect the recorder and the CRM and keep every key. We configure and test with scripted calls, and we never join or record a call. Which service reads your records is agreed in writing before any real record is shared; the entry test uses invented or redacted data, or your own provider account.
