Job account-handover-briefs-traced-to-crm-records · revised 12 October 2026

Give the next account owner a brief on each account that traces to the CRM

One page per named account where every statement links to the CRM record it came from. Where no record exists, the brief says "no record".

You might be seeing

  • The new owner asks the old owner for context that nobody has written down
  • Notes disagree about what was promised

No passwords, keys, card details or admin invites needed to start.

What usually happened

When an account changes hands the new owner has to piece the story together from emails, notes, deals and tickets. A tool that writes a smooth summary can state a signal as a fact or fill gaps with plausible filler. A wrong brief is worse than none.

Who it’s for: Head of sales or customer success when an account owner leaves or accounts are reassigned.

Usually starts when: A rep leaves, and the next owner opens each account to find a thin or contradictory history.

The result: You receive one page per named account in which every statement links to the CRM record it came from. Open commitments listed equal the record's open tasks, and where no record exists the brief says "no record".

What you get

  • The briefs, one page each
  • The statement-to-record link table
  • The open-commitment check
  • The usefulness marks from the incoming owners

Included

  • A batch of up to 20 named accounts from one CRM
  • One page per account with a link to the source record on every statement
  • A list of open commitments taken from open tasks
  • A "no record" line wherever the history is empty
  • One trap account with a thin history, real or invented by your team and not marked to us, to check nothing is invented

Not included

  • Statements without a source record
  • History held in personal inboxes outside the CRM
  • Advice on how to run the account
  • Contact details in the briefs beyond names
  • Changing any record

How we know it’s done

Agreed with you before work starts. Each check produces evidence you keep.

  1. In 20 sampled briefs, your reviewer opens every link and finds that each statement is supported by the record it points to; any unsupported statement fails the whole test.

Evidence: The links table with the reviewer's marks.

  2. The open commitments in each brief equal the open tasks in the CRM.

    Evidence: The comparison per account.

  3. The trap account your team slipped into the batch, with a sparse history we were not told about, comes back as "no record", not filler.

    Evidence: The trap brief.

  4. The incoming owner marks each brief useful or not, and the count is reported.

    Evidence: The incoming owners' marks.

Sign-off. You re-run the test yourself, check the list of severe errors and sign off in writing. Payment follows sign-off.

If it fails. If the agreed pass mark is not met, we say so, hand over the results and the failures, and do not call the output working. You do not pay for this scope; we agree whether to stop or re-quote.

When it fits, and when we stop

It fits when

  • The account history is in the CRM: emails, notes, deals and tickets
  • The incoming owner marks each brief useful or not
  • Real records are read only after a written agreement that covers how your records are processed and a separate access step you control; until then we test on invented or redacted data.

We stop and tell you if

  • The history sits in personal inboxes outside the CRM
  • You want the brief to infer intent or sentiment
  • Most accounts have fewer than five records

What could go wrong

The job reads timelines and writes documents, so there is nothing to undo.

Scroll the table sideways to read it all.

RiskHow we handle it
A signal is written as a factEvery statement carries a link, and a statement without one is removed.
Personal data sits in notesOnly agreed accounts are read, and our copies are deleted at the end.
A thin account gets fillerThe trap account must come back as "no record".

A separate automated reviewer checks the statement links, the commitments and the trap account before hand-over, and no person on our side reviews unless your agreement names one. The incoming owners mark each brief useful or not. At launch the work is largely automated, and we say so.

How we deliver

We arrange the work and independent review, then show you the result against the agreed checks. You keep authority over your systems.

  • Agree the accounts, the brief template and the pass marks
  • Receive the account timelines by the agreed route
  • Write each statement with a link to its source record
  • Check open commitments against open tasks and the trap account
  • Independent automated review of every link and every "no record" line
  • Hand over the briefs for the incoming owners to mark

This is a one-off job, not a subscription or emergency cover. We confirm eligibility, price, a start window and a delivery date before you accept, and work starts only after agreed inputs and access are in place. Nothing is sent, merged, posted or changed in your live systems by us, and an enquiry creates no charge or booking.

Need to keep it working?

Discuss handover briefs for each future leaver.

Ongoing work is separately scoped and quoted: no monitoring, response-time guarantee or automatic subscription is included in this job.

Mention the responsibility you need in your enquiry.

What you can check

This is a new service. We have not delivered this job for a client yet.

Other ways to get this done

  • A short handover call with the departing owner, if they are still around, captures what no record holds.

Questions

Will it tell me how the customer feels?

No. Only facts that a record supports.

What if the history is thin?

The brief says "no record". It does not guess.

Does it change the CRM?

No. It reads timelines and writes documents.

Send an enquiry

Send us

  • The CRM and how many accounts are being handed over
  • What the incoming owners need to know first
  • Where history lives other than the CRM

Later, once you agree

  • A read-only user you can revoke, or exported account timelines
  • The list of named accounts
  • A secure handoff route agreed before any record is shared

You keep the CRM. We read agreed account timelines and return the briefs. Which service reads your records is agreed in writing before any real record is shared; the entry test uses invented or redacted data, or your own provider account.

A public HTTPS link only, without login details, query strings or fragments. No code or logs.

Sending emails your enquiry and contact address to our team through our mail provider (Resend). It is not kept in a website database. Do not send passwords, keys, recovery links, confidential code or customer records. Your contact email is unverified; nothing is ordered, charged or reserved. Privacy notice.
