Job crm-workflow-inventory-and-conflict-list · revised 12 October 2026
List every CRM workflow and see which ones overlap or conflict
You get an inventory of every workflow in your CRM export, with trigger, fields changed and owner, plus the pairs that overlap or loop. A report only: nothing is changed.
You might be seeing
- A field changes back after an edit
- Nobody knows which workflow sends a given email
No passwords, keys, card details or admin invites needed to start.
What usually happened
CRM workflows are added one at a time. Two start on the same event, one writes a field that another reads, and a merge can unenrol records from workflows. Nobody can see the whole picture, so every change risks breaking a flow nobody remembered.
Who it’s for: Operations manager who inherited a CRM with dozens of workflows.
Usually starts when: A record changed in a way nobody can explain, or a new workflow made an old one misbehave.
The result: You receive an inventory of every workflow in your export, each with its trigger, the fields it changes, its owner and its last change, and a list of the pairs that overlap or loop. It is a report only; nothing in your CRM is changed.
Check whether this job fits
Answer these without sending files or logins. Nothing is submitted unless you choose to contact us.
What you get
- The workflow inventory
- The overlap and loop list
- The proposal per pair
- A note on what the export could not show
Included
- One CRM and up to 150 workflows from an export or screenshots
- Per workflow: object, trigger, actions, fields written, last change, owner
- Overlap pairs: same trigger and a shared field written
- Loops: one workflow sets a field that starts another
- A keep, merge or retire proposal for you to decide
Not included
- Changing, merging, switching off or deleting any workflow
- Automations in other tools such as Zapier or Make: see the automation project
- Fixing the conflicts
- Message content or contact data
- More than 150 workflows
How we know it’s done
Agreed with you before work starts. Each check produces evidence you keep.
Every workflow in the export appears once, and the inventory total equals the export count.
Evidence: The inventory and the export count.
For 20 sampled workflows, trigger and fields written match the workflow view with 0 mismatches.
Evidence: The sample with your marks.
On a test copy where your person plants 3 overlaps and 1 loop that we have not seen, all 4 are found and no extra pair is listed. For every overlap listed from your own export, your person opens both workflows and confirms they share a trigger and a written field; for every loop, that one workflow writes a field that starts the next. Any listed overlap or loop that fails this check fails the whole test.
Evidence: The planted fixture, the output, and your person's check of each listed overlap and loop.
No workflow was changed by us.
Evidence: Your own audit log for the period.
Sign-off. You re-run the test yourself, check the list of severe errors and sign off in writing. Payment follows sign-off.
If it fails. If the agreed pass mark is not met, we say so, hand over the results and the failures, and do not call the output working. You do not pay for this scope; we agree whether to stop or re-quote.
When it fits, and when we stop
It fits when
- You can export workflows or give a read-only user, or send screenshots of each
- A named person decides keep, merge or retire
- The export holds no contact data
We stop and tell you if
- You want us to change the workflows
- The workflows cannot be exported and nobody can screenshot them
- Most of the logic lives outside the CRM
What could go wrong
The job reads definitions and writes a report, so there is nothing to undo.
Scroll the table sideways to read it all.
| Risk | How we handle it |
|---|---|
| A hidden dependency is missed | The note lists what the export could not show, such as logic outside the CRM. |
| A listed overlap is harmless | Each pair shows its evidence and is a proposal, not an instruction. |
| The report is used to bulk-delete workflows | It recommends review only, and a deletion is yours to make. |
A separate automated reviewer checks the inventory totals and the overlap pairs before hand-over, and no person on our side reviews unless your agreement names one. Your named person decides keep, merge or retire for each pair. At launch the work is largely automated, and we say so.
How we deliver
We arrange the work and independent review, then show you the result against the agreed checks. You keep authority over your systems.
- Agree the objects, the export route and the report layout
- Receive the workflow definitions by the agreed route
- List each workflow once with trigger, actions and fields written
- Find overlapping pairs and loops, and test on a fixture your person plants
- Independent automated review of the inventory and the pairs
- Hand over the report for your decider
This is a one-off job, not a subscription or emergency cover. We confirm eligibility, price, a start window and a delivery date before you accept, and work starts only after agreed inputs and access are in place. Nothing is sent, merged, posted or changed in your live systems by us, and an enquiry creates no charge or booking.
Need to keep it working?
Discuss a monthly check for new overlapping workflows.
Ongoing work is separately scoped and quoted: no monitoring, response-time guarantee or automatic subscription is included in this job.
Mention the responsibility you need in your enquiry.
What you can check
This is a new service. We have not delivered this job for a client yet.
Other ways to get this done
- Your CRM's workflow list shows names and status. For fewer than 20 workflows, reading each by hand may be enough.
Questions
Will you merge or delete the workflows?
No. We list conflicts and you decide.
How is this different from the automation clean-up project?
That project covers Zapier, Make and Airtable and changes them. This one reads CRM workflows and changes nothing.
Do you see my contacts?
No. Only workflow definitions.
Send an enquiry
Send us
- The CRM, its plan and roughly how many workflows it has
- The objects that matter most
- Who owns the workflows today
Later, once you agree
- A workflow export, screenshots or a read-only user you can revoke
- The decider's name
- A secure handoff route agreed before any access
You keep the CRM. We read workflow definitions only, never contact data, and we change nothing.
