Collect the answers from a batch of filled-in PDF forms into one sheet
The values typed into a batch of fillable PDF forms from one template arrive as one spreadsheet, one row per form, checked against the field list, with unreadable files listed.

What usually happened
Answers typed into a fillable PDF are stored inside each file as named form fields. Opening each file and retyping the answers is slow and error-prone, and a checkbox, a dropdown or a blank answer is easy to record inconsistently. A form that was printed, flattened or scanned no longer has fields at all, so those files look returned but hold nothing a program can read.
Who it’s for: An office or operations manager who sends the same fillable PDF form to many people or sites and copies the returned answers into a spreadsheet by hand.
Usually starts when: A fillable form has come back from dozens of people, and someone is opening each file and retyping the answers.
The result: You receive one spreadsheet with one row per returned form and one column per form field, in the agreed order, with every checkbox, dropdown and blank answer recorded by the same rule, and a list of the files that could not be read as forms.

Check that a returned form still has fields
Open one returned PDF in your usual PDF reader and click into an answer. Many readers also highlight form fields when you use their "highlight fields" option.
Look for: If you can edit the answer, the file holds field data. If the answer cannot be selected or edited, the form was flattened or scanned.

- Forms that use the XFA dynamic form format, unless a trial on your sample shows the values can be read
- Opening password-protected forms without a route you are entitled to give us
- Forms that collect health, financial, legal or other special-category answers, or personal data beyond a business contact name you may share
- Chasing people who have not replied, sending reminders or writing back to respondents
- Interpreting free-text answers or deciding what an answer means for your business
How we know it’s done
Agreed with you before work starts. Each check produces evidence you keep.
The number of files received equals the number of rows in the data sheet plus the number of files on the exceptions sheet, and every file name appears exactly once across the two.
Evidence: The reconciliation showing files received, rows written, exceptions and the list of file names.
For every file in an agreed sample, each field value in the sheet equals the value a PDF reader displays for that field, including checkboxes, option lists and unanswered fields.
Evidence: The sample sheet listing file, field, displayed value, sheet value and the result.
The sheet has exactly one column for each field in the blank template, in the agreed order, and any field found in a returned file but not in the template is listed.
Evidence: The field list compared with the template, with differences listed.
You review the exceptions and sign off the data sheet.

Sign-off. You open the workbook beside a few forms of your own choosing, settle the exceptions with us and sign off in writing. Payment follows sign-off.
If it fails. If the agreed checks do not pass, you do not pay for this fixed scope. If most files turn out to be flattened or scanned, or the forms hold sensitive answers, we explain why, hand back what we have and agree whether to re-quote or stop. No surprise work.
When it fits, and when we stop
It fits when
- You hold the blank template and the returned files were completed in it as fillable fields
- You are allowed to share the returned forms with a contractor
- The answers concern equipment, sites, stock, events or similar, and hold no special-category data
- A named person can decide the exceptions and sign off
We stop and tell you if
- Most returned files are flattened, printed or scanned and contain no form fields
- The forms hold health, financial, legal or other sensitive answers about individuals
- The template changed so much between batches that no single field list matches the files, and you do not want it re-quoted by version
What could go wrong
We work on copies and never alter the returned forms. The workbook is a new file beside them; if you do not want it, delete it. Nothing in your own systems has changed.

A reviewer who did not run the extraction opens a sample of the forms in a PDF reader and compares every field with the row. You decide the exceptions and sign off.

We arrange the work and independent review, then show you the result against the agreed checks. You keep authority over your systems.

- Check every returned file for form fields and separate files with none
- Read each file's field values into a working copy of the workbook, one row per file
- Reconcile files received against rows plus exceptions, and compare the sample against what a PDF reader shows
- Have an independent reviewer check the sample again on different files and review the exceptions
- Hand over the workbook, reconciliation and rules note; you settle the exceptions and sign off
This is a one-off job, not a subscription. We confirm eligibility, the total price, a start window and a delivery date before you accept. Work starts only after the agreed files, the secure handling route and the acceptance checks are written down. An enquiry creates no charge or booking. We give no legal, medical, financial or tax advice.
Need to keep it working?
If forms keep arriving every month, the same extraction can be agreed as a monthly responsibility. That is a separate quoted agreement.
Ongoing work is separately scoped and quoted: no monitoring, response-time guarantee or automatic subscription is included in this job.

Other ways to get this done
- Many PDF readers can export the data from a filled-in form, one file at a time. For a few forms, doing that yourself may be quicker than asking us.
- If you control how the form is collected, a web form that writes answers straight into a spreadsheet avoids the problem. That changes your process rather than rescuing the forms you already have.
Questions
What if some people printed the form and scanned it back?
Those files have no field data. We list them as exceptions. Reading scanned forms is a different job and carries no promised accuracy.
Can you extract forms that contain people's personal details?
Not under this scope. It is for forms about equipment, sites, stock or events. Anything about individuals needs a separate conversation about whether and how it can be handled at all.
Do you reply to the people who sent the forms?
No. We only read the files you give us and return a spreadsheet.

You keep ownership of every file we work on and of what we return. No upload portal exists yet, and the first enquiry never includes documents: send a description, counts and an invented or redacted sample only. Work can start only after we have agreed with you, in writing, a secure way to hand the files over, who may see them, how long we keep them and how we delete them. If we cannot offer a way you are comfortable with, we decline and nothing is charged. Files may be handled by automated software, including services run by other companies, and we tell you which in writing before any file moves. We work on copies, never on your only original, and we do not send, publish or contact anyone for you.
