Standing service
Keep your IT helpdesk ticket triage suggestions tested and tuned every month
Each month we re-run a fixed test over your triage suggestions, check what your team overrode, and send a tuned rules pack that changes only if every earlier passing case still passes.
This starts a conversation by email. Nothing is charged, and nothing is run, until we have agreed scope, access and terms with you in writing.
The responsibility you hand over
Triage rules drift: new products, new wording and tool updates all change what tickets look like. A model update from the provider can also change suggestions without anyone touching your rules.
Who it’s for: IT lead or managed IT provider whose triage suggestions worked at launch and have drifted as tickets and tools change.
Usually starts when: A new product launched, ticket wording changed, or the helpdesk tool updated, and suggestions started to miss.
The result: Every month you receive the result of a fixed test of the suggestions, a count of how often your team overrode them, and a tuned rules pack if one is needed. A change is accepted only if every case that passed before still passes. The pack only suggests and never acts on a ticket.
What stays true, and what we do about it
No response-time guarantee is published for this new service. A target for delivering each report is agreed in writing before it starts, set to what a service at this stage can keep.
Hours are agreed in writing before the service starts. At launch the service is not staffed round the clock and runs once each month.
What must remain true
- Every case in the fixed set that passed before still passes
- The must-never-fail tickets are marked high priority or above in each of five runs
- The planted-instruction cases do not change a suggestion in any of five runs
- No suggestion is acted on by the pack
What we watch
- The fixed case set
- The monthly labelled sample
- The override log

| When | What we do |
|---|---|
| A month closes and the sample and override log have been sent. | We run the fixed test and the sample, then send the report. |
| The override rate or sample disagreement rises above the level we agree. | We propose a tuned pack and show which fixed cases still pass. |
| Your helpdesk tool or the model provider changes. | We re-run the fixed test at the next monthly run and say whether anything flipped; an extra run can be agreed in writing. |
We do on our own
- Run the fixed test and the sample
- Prepare a tuned pack and the report
- Propose changes to the rules
We ask you first
- Any change to your categories or priority levels
- Putting a tuned pack live, which your admin does
- Adding a case to the fixed set
We escalate to you when
- A must-never-fail ticket is missed in any run
- A planted instruction changes a suggestion
- The override rate is rising two months running
How you know it held. Each month you can re-run the fixed set with the pack we send and get the same result. The report gives volume, overrides, sampled disagreement and severe misses.
How we keep it true
This service is never finished. Each month's report shows whether the thing it watches stayed true, and it continues until you end it.
Suggested category and priority for new IT helpdesk tickets, tested on your past tickets Job Optional
For an IT helpdesk: rules and instructions that suggest a category and priority for new staff requests, tested on 100 of your past tickets we have not seen, suggest-only and always overridable.
Bought separately; not part of the monthly fee
The one-off pack this service keeps tested and tuned.
Draft help articles from your solved IT tickets, each step traced to a ticket Job Optional
Eight to ten help articles drafted from your solved tickets, each step traced to a ticket line, scanned for personal data and followed step by step by a person on your side.
Bought separately; not part of the monthly fee
Drafts help articles from the tickets solved since.

What you get to see
The customer deliverable is the running result and its evidence, not a pull request. The pull request stays an internal record.
- Request. Your request, as we understood it
- Agreed checks. The agreed checks that define done
- Test results. Test results against each check
- Independent review. An independent review and what it found
- Known limits. What it does not cover
- Acceptance. Your accept or change request
How we know it’s done
Agreed with you before work starts. Each check produces evidence you keep.
Each month every case in the fixed set that passed before still passes, each must-never-fail ticket is marked high priority or above in five of five runs, and no planted instruction changes a suggestion in any run.
Evidence: The run sheets for the fixed set.
On the monthly sample of 30 new tickets, scored before it is used for tuning, every disagreement with your label is listed and your IT lead says who was right. The sample is a tripwire for drift, not a measured accuracy rate.
Evidence: The sample sheet with your decisions.
The pack closed, replied to or reassigned no ticket during the month.
Evidence: Your helpdesk audit log.
Sign-off. Your named IT lead reads each report and says whether the rules still suit you. A month counts as delivered when you have received the report and the summary.
If it fails. If we cannot run a month because an export is missing or has changed, we say so, explain what we need and do not guess. If the service is not working for you, you can end it at the end of any month.
When it fits, and when we stop
It fits when
- A triage pack exists, bought as the one-off job or already in use
- Your IT lead labels 30 recent tickets each month
- Tickets are redacted by you before sending
- The override log is kept by your team
We stop and tell you if
- Your team stops keeping the override log or labelling the monthly sample
- You want the pack to act on tickets
- Your own labels disagree with each other
What could go wrong
The service only reads and reports, so there is nothing to undo. Ending it leaves your systems exactly as they are; you keep every report we sent.
Scroll the table sideways to read it all.
| Risk | How we handle it |
|---|---|
| A tuning change fixes one case and breaks another. | A change is accepted only if every earlier passing case still passes, and the fixed set is re-run in full. |
| A silent provider model update changes suggestions. | The fixed test is re-run each month, at the next run after any announced change, and any flip is reported. |
| Ticket text carries planted instructions. | Planted-instruction cases stay in the fixed set, and the pack has no send, reset or close tools. |
A separate automated reviewer checks every report against the agreed test before it is sent. No person on our side reviews unless your agreement names one. Your named IT lead decides what to do with each finding.
Stays with a person
- Your named IT lead decides what to do with every finding
- You make every change in your own systems
Access we would need
- Redacted, synthetic or exported files that you send each month
- No logins, no admin roles and no live-system access
Questions
Does it fix tickets?
No. It only suggests a category and priority.
What if the model provider changes something?
The next monthly run shows whether any suggestion flipped, and we tell you. An extra run can be agreed in writing.
Do we need the one-off pack first?
Yes, or a pack of your own that we can test.
How is this different from the customer-support monthly check?
This one re-tests suggestions for an IT helpdesk and its own categories. The customer-support check re-tests tags and alerts on a software company's customer tickets.
Send an enquiry
Send us
- The current pack and your categories and priorities
- Roughly how many tickets arrive each month
- Whether the helpdesk tool changed lately
Later, once you agree
- Each month: 30 redacted recent tickets with your labels and the override log, through an agreed secure route
- The 10 must-never-fail tickets and the planted-instruction cases, chosen or written by your IT lead
- The name of the IT lead who approves each pack change
You keep your systems and your files. We work on redacted or synthetic copies, or on exports you run yourself, and we hold no admin access between runs. Before any real personal data is shared, the written agreement names the model provider, its country and how long it keeps data, or the work runs on your own provider account.
