Job opt-out-honoured-across-every-email-tool · revised 12 October 2026

Make sure an unsubscribe in one email tool stops email from all of them

A test contact that opts out in any one of up to four tools cannot be emailed from any of them, and the opt-out is recorded with date and source. A rules job, not an AI one.

You might be seeing

  • A person who unsubscribed still gets email from another tool
  • Re-importing an old list put opted-out people back on it

No passwords, keys, card details or admin invites needed to start.

What usually happened

Each email tool keeps its own opt-out list. An unsubscribe in one does not reach the others, and importing an old list can quietly put people back. The first you hear is a complaint.

Who it’s for: Marketing manager running a CRM, a newsletter tool and a sequencing tool.

Usually starts when: A complaint, an audit, or the higher fine ceiling makes someone ask whether an unsubscribe really stops everything.

The result: A test contact that opts out in any one of up to four named tools cannot be emailed from any of them. The opt-out is recorded with its date and source, and re-importing the old list does not bring the contact back.

  • The re-import and re-subscribe test results
  • The weekly export steps for any tool that cannot sync

Included

  • Up to four named email tools and one test mailbox you own
  • A matrix of opt-out source by sending tool, each cell tested
  • A suppression route in each tool, or a documented weekly export where a tool cannot sync
  • A re-import trap and a re-subscribe check
  • A record of opt-out date and source

Not included

  • Legal advice on consent or the rules for transactional mail
  • Sending to anyone but test addresses you own
  • Real subscriber data in the test
  • Changing your lawful basis or privacy notice
  • More than four tools

How we know it’s done

Agreed with you before work starts. Each check produces evidence you keep.

  1. For every pair of opt-out source and sending tool in the matrix, the test contact is suppressed in the other tools within the agreed time (our target is the same day; the US CAN-SPAM limit is 10 business days, and UK guidance says promptly).

    Evidence: The matrix with timestamps.

  2. A test send from every other tool to the opted-out contact is blocked.

    Evidence: The send logs.

  3. Re-importing the original list does not re-subscribe the contact.

Evidence: The import log and the contact's status.

  4. Re-subscribing needs the person's own action, not an import or a sync.

    Evidence: The re-subscribe test.

Sign-off. You re-run the test yourself, check the list of severe errors and sign off in writing. Payment follows sign-off.

If it fails. If the agreed pass mark is not met, we say so, hand over the results and the failures, and do not call the output working. You do not pay for this scope; we agree whether to stop or re-quote.

When it fits, and when we stop

It fits when

  • Each tool has a suppression list, an API or an export
  • You own the test mailbox and can create a test contact in every tool
  • An admin in each tool, with permissions you can revoke

We stop and tell you if

  • A tool has no suppression route at all and you will not run a manual export
  • You want us to send to real subscribers to test
  • The tools are shared with another firm

What could go wrong

Your admin removes the suppression rules in each tool. The test contacts are deleted at the end.

Scroll the table sideways to read it all.

RiskHow we handle it
A tool changes how it handles suppressionThe record dates each result, and a monthly re-run is a separate service.
A test mail reaches a real personTests use only mailboxes you own.
The result is read as legal complianceThe page and the report say it is a technical test and not legal advice.

A separate automated reviewer checks the matrix cells and the test-send logs before hand-over, and no person on our side reviews unless your agreement names one. Your admin in each tool applies the set-up, and your named person reads the matrix. At launch the work is largely automated, and we say so.

How we deliver

We arrange the work and independent review, then show you the result against the agreed checks. You keep authority over your systems.

  • Agree the tools, the test mailbox and the suppression timing in writing
  • Create a test contact in every tool
  • Opt the test contact out in each tool in turn and check the others
  • Re-import the original list as a trap and try to re-subscribe
  • Independent automated review of the matrix and the logs
  • Hand over the set-up steps, the results and the weekly export steps

This is a one-off job, not a subscription or emergency cover. We confirm eligibility, price, a start window and a delivery date before you accept, and work starts only after agreed inputs and access are in place. Nothing is sent to anyone but test addresses you own, and the only changes in your tools are the test contacts and the suppression set-up your admin approves; an enquiry creates no charge or booking.

Need to keep it working?

Discuss a monthly re-run of the matrix.

Ongoing work is separately scoped and quoted: no monitoring, response-time guarantee or automatic subscription is included in this job.

What you can check

This is a new service. We have not delivered this job for a client yet.

Other ways to get this done

  • Some tools can share a suppression list with each other. Check each tool's settings before buying this.

Questions

Is this an AI job?

No. It is rules and tests.

Do you email my subscribers?

Never. We use test addresses you own.

Is this legal advice?

No. It tests that your tools do what your policy says.

Send an enquiry

Send us

  • The names of the tools and what each one is used for
  • Where an unsubscribe is recorded today
  • The test mailbox you own

Later, once you agree

  • In each tool, the narrowest role that can create a test contact and read its suppression list, in test mode and revocable by you
  • The agreed time for a suppression to take effect
  • A secure handoff route agreed before any access

You keep every tool and every list. We use a test contact at a mailbox you own and, in each tool, the narrowest role that can create that contact and read its suppression list. The role is revocable by you, and used in test mode where a tool has one.
