Keep every new web lead owned and unduplicated in HubSpot, month after month

Each week we check that new web leads in HubSpot have an owner and that duplicates and field-sync errors are caught, then repair what we find on a copy or test route.

This starts a conversation by email. Nothing is charged, and nothing is checked, until we have agreed scope, access and terms with you in writing.

The responsibility you hand over

A lead route is not fixed once. Owners join and leave, which can change how a rotation shares leads, forms are edited, integrations are added, and a mapped field starts reverting. Each change can leave new leads unowned or duplicated, and nobody finds out until a lead goes cold.

Who it’s for: A sales or marketing manager who pays for web leads and needs each one to reach a person, once, with the right details.

Usually starts when: A routing rule has been fixed before and drifted again after the team changed, or a form change started creating duplicates without anyone noticing.

The result: The new web leads in the form paths you name keep arriving with an owner and without new duplicates, and the agreed mapped fields keep syncing without errors. Each week's check is written down, each problem is investigated and ends in a repair or an explanation, and each month you see what was found.

What stays true, and what we do about it

No response-time guarantee is published for this new service. A target is agreed in writing before it starts, set to what a service at this stage can actually keep.

Hours are agreed in writing before the service starts. At launch the service is not staffed round the clock, so we do not offer round-the-clock cover.

What must remain true

  • New leads from the named form paths have an owner, or are with the named fallback owner
  • New duplicate contacts or companies from those paths are found and explained
  • The agreed mapped fields sync without new errors

How you know it held. Each month you get the weekly checks, what each found and how each ended. A passing synthetic test is the evidence for each repair, and you can compare the summary with your own saved views.

How we keep it true

This service is never finished. Each month's summary shows what was checked and found, and it continues until you end it.

  • Reassigning, merging or deleting existing records: you do that, or we agree it as a separate job
  • Designing territories or changing seats, subscription tiers or billing
  • Any promise about how quickly a lead is contacted, or round-the-clock cover
  • More than three form paths or two synced fields, unless the written agreement says so
  • Sales follow-up, lead scoring, advertising or consent advice

How we know it’s done

Agreed with you before work starts. Each check produces evidence you keep.

  1. For each repair, the problem is reproduced with synthetic records and the corrected workflow or mapping passes an agreed test.

    Evidence: The synthetic record log and the change notes.

  2. Each month's summary lists each weekly check and its result for the named form paths and agreed fields.

    Evidence: The written monthly summary, which you can compare with your own saved views.

  3. No real record was reassigned, merged or deleted by us.

    Evidence: The change notes, and your own audit of the named views.

Sign-off. You read each monthly summary and approve each repair before it is switched on. A repair counts as delivered when you accept it.

If it fails. If we cannot fix a problem, we say so, explain what we found and what it would take, and it does not count against the agreed repairs. If the service is not working for you, you can end it at the end of any month.

When it fits, and when we stop

It fits when

  • You use HubSpot, and can give us the least access that lets us view the saved lead and duplicate views and edit the named workflows
  • A written rule table and a named fallback owner exist, or you buy the routing repair first
  • A person on your side approves any change to a live workflow, field mapping or record

We stop and tell you if

  • The routing rules are undecided or keep changing inside your team
  • Checking would need access to contact records beyond the saved views we need
  • Most problems come from causes you cannot or will not change, such as seats or a Salesforce rule

What could go wrong

Every repair is described in change notes with the previous settings, so your administrator can restore them. Ending the service leaves your workflows and mappings as they are, with open repairs finished or handed back.

Questions

How is this different from fixing routing once?

A one-off fix corrects the assignment rule on the day. This service checks each week that new leads still have an owner and no new duplicates, and repairs what drifted, month after month.

Is this real-time monitoring?

No. It is a weekly check with repairs on a copy. No response-time promise is made, so keep your own alert for anything urgent.

Will you reassign or merge my existing records?

No. We do not change real records. Any bulk reassignment or merge is a separate agreed job that you approve.
