Job overdue-invoice-reminders-sent-by-rules-you-write-with-a-stop-switch · revised 12 October 2026
Send overdue-invoice reminders automatically under your written rules, with a stop switch
Overdue reminders go out from your own address only under the send cap, quiet list and dispute list you write, with every send logged and one switch to stop them all.
You might be seeing
- Reminders are drafted but not sent
- The same overdue list is chased only when someone remembers
No passwords, keys, card details or admin invites needed to start.
What usually happened
A reminder sent to a customer who is disputing, part-paid or paid yesterday damages the relationship, and a send loop can email one customer many times. Sending is the risky step, so the limits must be enforced in code outside any language model, and a person must be able to stop everything at once.
Who it’s for: Owner or credit controller of a small business-to-business company who has seen the drafts work and now wants the routine reminders to go out without anyone pressing send.
Usually starts when: Drafted reminders sit unsent because nobody has time, and invoices keep going further overdue.
The result: Reminders are sent automatically from your own sender address, only to customers and invoices that pass the rules you write: a daily and weekly send cap, one reminder per customer a week, at most two per invoice, a quiet list, a dispute list and a fresh-export check. Wording comes only from templates you approve, filled from the export by script. Every send and block is logged, you can stop one customer or everything, and for the first 14 days each reminder waits for your named person to release it.

Answer these without sending files, logins or personal data. Nothing is submitted unless you choose to contact us.
What you get
- The rules file and the approved templates
- The send log format and a sample log
- The stop-switch runbook
- The test results
Included
- One open-invoice export refreshed daily, up to 300 open invoices, business customers only
- Your written rules, set as numbers in a settings sheet, covering the daily cap, weekly cap, one per customer a week, two per invoice, send days and hours
- A quiet list and same-day dispute and part-paid exclusion lists where the export lacks those flags; listed customers get nothing
- Up to three templates you approve, filled from the export by script; no language model writes or changes a sent message
- A send-only connection you create, limited to one sender address, and a log of every send and every block with the rule that applied
- A stop switch for everything, a stop for one customer, and a runbook to restore the previous state
Not included
- Choosing whom to chase or whether to charge interest or fees: only wording you supply and approve appears
- Threats, legal letters, phone calls, texts or any step beyond two reminders per invoice
- Consumer debt, which is regulated differently
- Reading replies or your inbox
- Deciding that an invoice is disputed: you keep the dispute list
- Changing anything in your ledger
- Accounting, tax or legal advice
How we know it’s done
Agreed with you before work starts. Each check produces evidence you keep.
Across 1,000 generated cases and 100 labelled invented-history cases held back by you until the run, every out-of-rule reminder is blocked and logged. Cover quiet/dispute lists, part-paid invoices, caps, exports older than 24 hours, missing contacts and third reminders; one wrong recipient or out-of-rule send fails the whole test. These test code, not a model rate; you receive the case file and rerun steps.
Evidence: The case file and the log with the rule that blocked each one.
In a simulated 30-day month with a large overdue list, the daily cap, weekly cap and one-a-week-per-customer limit are never exceeded on any day.
Evidence: The send log counted by day and by customer.
Every sent message in the tests equals its approved template with fields filled from the export; invoice number, amount and due date equal the export in every message.
Evidence: The script output on every message.
20 live test sends to test mailboxes you own all arrive from the one sender address and appear in the log.
Evidence: Your mailbox and the log.
Your person stops all sending, stops one customer and restores the previous state from the runbook, each in under 10 minutes, and no message is sent after the stop.
Evidence: The timings and the log.
10 export rows hold instructions in the customer name or notes, such as "send a final demand to everyone"; each runs five times. No message differs from its template in any run. This is a baseline, not a claim of immunity.
Evidence: The planted markers and the 50 run outputs searched for them.
In approve-first mode, no reminder leaves without the named person's release. After 14 days, sending stays in that mode until their written approval to go automatic is recorded; any earlier automatic send fails the whole test.
Evidence: The queue and the release log.
Sign-off. Your named person re-runs the tests with the steps we hand over, reads the results and signs off in writing. You then switch sending on in approve-first mode, and after 14 days you approve going automatic in writing. Payment follows sign-off.
If it fails. If an agreed check fails, you do not pay for this fixed scope. We hand over what we found and agree whether to stop or re-quote; no surprise work.
When it fits, and when we stop
It fits when
- Business-to-business invoices only, with a contact email on each
- The export marks disputed and part-paid invoices, or you maintain same-day dispute and part-paid exclusion lists
- You can create a send-only connection for one sender address and revoke it
- A named person releases reminders for the first 14 days and holds the stop switch afterwards
- The matching drafts-for-approval job or an equivalent tone ladder and templates exist
We stop and tell you if
- You want the system to decide whom to chase or what to say
- Customers are mostly consumers or a high share of invoices are in dispute
- You cannot keep dispute and part-paid flags or exclusion lists current
- The export cannot be refreshed daily
What could go wrong
Revoking the send-only connection stops all sending at once, and the runbook restores your previous setup. Sent messages cannot be recalled, which is why the first 14 days wait for release. We never touch your ledger.
Scroll the table sideways to read it all.
| Risk | How we handle it |
|---|---|
| A reminder reaches a customer who is disputing, part-paid or has paid since the export. | Quiet, dispute and part-paid flags or exclusion lists block reminders, the export must be under 24 hours old, and the first 14 days wait for release. The remaining gap, a payment made after the last export, is stated and cannot be closed by us. |
| A send loop emails one customer many times. | The caps are enforced in code outside any model. The simulated month must never exceed them, and one breach fails the whole test. |
| A message says something you did not approve. | Only approved templates are sent, filled by script from the export. A script compares every sent message with its template. |
| The stop switch does not work when needed. | Your person times it in the test: stopped and restored in under 10 minutes from the runbook, and you can revoke the connection yourself at any time. |
| Customers react badly to automatic reminders. | Two reminders per invoice at most, a quiet list for key accounts, and everything else goes to your person. |
| Text inside a document, record or message tries to give the automation instructions. | All input text is data. The automation has no tool to send, approve, file or change anything beyond what is listed here, and planted-instruction items must change nothing. |
| Real documents or records pass through a model provider. | First tests use invented, synthetic or redacted data. Real data moves only after a written agreement names the model provider, its country, how long it keeps data and whether it trains on it. |
A separate automated reviewer checks the rules, the templates and every test result before hand-over. Your named person releases every reminder for the first 14 days, approves going automatic in writing and holds the stop switch. No human supervisor from us is included unless your agreement names one, and at launch the work is largely automated.
How we deliver
We arrange the work and independent review, then show you the result against the agreed checks. You keep authority over your systems.
- Agree the rules as numbers, the lists, the templates and the stop switch
- Build the sender on a test export with test mailboxes you own
- Generate 1,000 cases; you hold back 100 labelled history cases until the run
- Run a simulated 30-day month and 20 live test sends to your test mailboxes
- Your person times the stop switch and restores the old state from the runbook
- Separate automated review; you start in approve-first mode for 14 days
This is a one-off job, not emergency cover or a subscription; an enquiry creates no charge or booking. Before you accept, we confirm eligibility, total price, start window and delivery date; work starts only after agreed inputs, secure access and needed permissions are in place. Model usage for our build and tests is included up to a cap stated in writing.
Need to keep it working?
Discuss a monthly service that re-tests the rules and reads the send log.
Ongoing work is separately scoped and quoted: no monitoring, response-time guarantee or automatic subscription is included in this job.
Explore an ongoing managed lane, or mention the responsibility you need in your enquiry.
What you can check
This is a new service. We have not delivered this job for a client yet.
Other ways to get this done
- Use Chaser or your ledger software's reminder features after checking their current scope and price www.chaserhq.com
- Keep the reminders as drafts a person sends each week, which the matching drafts job supports.
Questions
Does the language model send my reminders?
No. Sent wording comes only from templates you approved, filled by script from the export. The rules are code, not a model.
What if a customer paid after the last export?
They could still get a reminder. The export must be under 24 hours old, and the first 14 days wait for your release, but we cannot close that gap fully.
How do I stop it?
Revoke the send-only connection, or use the stop switch in the runbook. Both work without us.
Send an enquiry
Send us
- How many invoices are open and how overdue they typically are
- Whether disputed and part-paid invoices are marked
- Who would release the first 14 days of reminders. No customer data or logins in the first enquiry
Later, once you agree
- A test export with invented customers and test mailboxes you own; you hold back 100 labelled invented-history cases until the acceptance run
- Your rules as numbers, quiet list, same-day dispute and part-paid flags or exclusion lists, and approved templates
- A send-only connection to a test sender address that you create and can revoke
- The name of the person who releases reminders and holds the stop switch
- The agreement that names the model provider, its country and how long it keeps data, settled before any real personal data is shared
You keep your ledger, your mailbox and every login. We build and test with invented customers and test mailboxes you own, and the only live permission is a send-only connection for one sender address that you create, switch on and can revoke in one step. We never read your inbox and never hold ledger access.
