Standing service review-replies-drafted-for-your-approval · revised 12 October 2026

Standing service

Get a draft reply to each new online review in your voice, for you to approve and post

Each new review you share gets a draft reply in your voice within the agreed days, or a flag for a person. Nothing is posted without your approval and genuine negative reviews stay.

This starts a conversation by email. Nothing is charged, and nothing is monitored, until we have agreed scope, access and terms with you in writing.

The responsibility you hand over

Unanswered reviews look careless, and quick replies can reveal a customer's details, admit liability or sound defensive.

Who it’s for: Owner of a small business with Google or Trustpilot reviews that go unanswered.

Usually starts when: Reviews pile up unanswered, and the ones you do answer take longer than they should or come out too defensive.

The result: Each new review gets a draft reply in your voice within the days agreed in writing, flagged for a person if it needs one. Nothing posts without your approval, no draft reveals a customer's identity or offers an incentive, and genuine negative reviews stay.

What stays true, and what we do about it

No response-time guarantee is published for this new service. The days within which drafts are due are agreed in writing before it starts.

Hours are agreed in writing before the service starts. It runs on the days agreed and is not staffed round the clock.

What must remain true

  • Each new review you share gets a draft reply in your voice within the days agreed in writing, or a flag that a person must handle it
  • No draft names a customer or reveals any detail of their visit, order, case or health
  • No draft offers an incentive to change or remove a review
  • Genuine negative reviews are answered or left, never hidden, and nothing is posted without your approval

What we watch

  • Review notifications by email or a read-only view of your review inbox
  • Your voice sheet and reply rules

WhenWhat we do
A new review arrives in the notifications you share. We send a draft reply in your voice, with a short reason if we changed the tone.
A review makes an accusation, a legal threat or a safety claim. We flag it to you with no draft, for you or your adviser to handle.
A review looks fake: wording repeated across reviews, or a burst of them.We send the evidence for you to decide. We do not answer, report or hide it.
A month closes. We send the summary: drafts made, approved, edited or rejected, and flags with reasons.

We do on our own

  • Read the notifications you share
  • Draft replies as text
  • Flag reviews that need a person
  • Write the monthly summary

We ask you first

  • Posting any reply
  • Offering anything to a reviewer
  • Replying to a health or legal review
  • Asking or paying anyone to write or change a review
  • Reporting or removing a review

We escalate to you when

  • A legal threat or a regulator mention
  • A safety concern
  • A review that names a person or discloses private details
  • A burst of reviews that look fake
  • A review site changes its reply policy

How you know it held. Each month you read the summary and can compare it with your review inbox: every new review has a draft or a flag, and every flag has its reason.

What is included, and what is not

  • The voice sheet and drafting rules
  • A draft or flag for each new review
  • The approval queue
  • A monthly summary

Included

  • One business profile on up to two review sites you name
  • A voice sheet and drafting rules you approve
  • A draft or a flag for each new review you share, by email notification or a read-only view
  • A flag, with no draft, for accusations, legal threats and reviews that look fake
  • A monthly summary of drafts, approvals and flags

Not included

  • Posting any reply: you post
  • Writing, buying or asking for reviews
  • Offering anything to change or remove a review
  • Hiding, reporting or removing genuine negative reviews
  • Replies for health or legal practices unless your policy owner approves every one
  • Live account access

How we know it’s done

Agreed with you before work starts. Each check produces evidence you keep.

  1. In the first-month test on 30 reviews you chose, 8 of them held back by you and unseen by us until the final run, none of the drafts reveals a customer's identity or details, and none offers an incentive to change a review.

Evidence: The 30 reviews, the drafts and a scan for names and offers.

  2. Five planted accusations, legal threats or fake-looking reviews, written by your person and unseen by us until the final run (extra to the 30), are each flagged and left unanswered.

Evidence: The planted five and what each received.

  3. You approve each post: no reply has been posted by us.

Evidence: The review site's own reply history for the period.

  4. The monthly summary lists every review shared, with its draft or flag and the reason.

Evidence: The summary beside your review inbox.

Sign-off. You read each monthly summary and tell us whether the voice sheet and rules still suit you. A month counts as delivered when you have the summary and a draft or flag for each review shared.

If it fails. If a draft reveals a customer's details, we withdraw it, fix the rule and tell you. If the service is not working for you, you can end it at the end of any month.

When it fits, and when we stop

It fits when

  • Review notifications reach an email we can read, or you share a read-only view
  • You approve and post every reply
  • A voice sheet or three of your past replies exist

We stop and tell you if

  • You want us to write or collect reviews
  • You want negative reviews hidden or reported as a routine
  • A health or legal practice with no policy owner to approve each reply
  • You want replies posted without approval

What could go wrong

Drafts are text. Nothing is posted by us, so there is nothing to undo, and ending the service leaves your reviews as they are.

RiskHow we handle it
A draft reveals who the customer is or what they boughtDrafts never name a customer or give order or visit details, and any draft that does fails the test and is fixed.
Genuine negative reviews are suppressedWe never hide, report or remove a review; fake-looking ones are sent to you with evidence and you decide.
A reply admits liability or offers a dealAccusations and legal threats get a flag and no draft, and no draft offers an incentive.
A reply in a health or legal practice discloses patient or client informationThose practices need your policy owner to approve every reply, or the service stops.

A separate automated reviewer checks each draft, and you approve every one. No human supervisor is included unless your agreement names one. At launch the work is largely automated, and we say so.

Stays with a person

  • You approve and post every reply
  • You decide what to do with every flagged review

Access we would need

  • Email notifications of new reviews, or a read-only review view

Questions

Will you post replies for me?

No. You approve and post every reply.

Can you remove bad reviews?

No. Genuine negative reviews stay. We flag ones that look fake and send you the evidence.

Is this suitable for a dental or legal practice?

Only if a policy owner approves every reply. Replies that reveal patient or client details can be a breach in themselves.
