Standing service help-centre-kept-current-every-month · revised 12 October 2026

Standing service

Keep your help centre current: stale and conflicting articles found every month

Up to three changes a month: every article with a changed price, policy or feature is found and a corrected draft sent in the agreed days, plus a monthly list of stale articles and new gaps.

This starts a conversation by email. Nothing is charged, and nothing is monitored, until we have agreed scope, access and terms with you in writing.

The responsibility you hand over

A help centre is accurate on the day it is checked. Every price, policy or feature change after that leaves old facts in some articles, and the bot repeats them.

Who it’s for: Support lead who fixed the help centre once and watched it drift again.

Usually starts when: A price or feature changed and nobody searched the help centre for the old wording.

The result: When you tell us a fact has changed (up to three changes a month), every article containing it is found and a corrected draft is with you within the days agreed in writing. Each month you also receive the stale and conflicting articles and the new gaps.

What stays true, and what we do about it

No response-time guarantee is published for this new service. The days within which drafts for a flagged change are due are agreed in writing before it starts.

Hours are agreed in writing before the service starts. It runs on the days agreed and is not staffed round the clock.

What must remain true

  • After you flag a changed fact, every article that states the old fact has been found and listed within the days agreed in writing
  • No known stale or contradictory article remains unreported for facts you flagged
  • Each month the stale, conflicting and broken-link articles and the new gaps are listed with evidence

What we watch

  • A read-only monthly export of the help centre
  • A list of changes that you send us
  • A redacted ticket export for the new-gap list

WhenWhat we do
You flag a changed price, policy or feature. We search the export for every article that states the old fact and send the list with corrected drafts. None is changed by us.
A month closes and the exports are available. We send the stale and conflict list, the broken links and the new gaps.
A gap appears in more than a few tickets. We offer the five-article drafting job for the top gaps.
Linked job: Draft help articles for top gaps

We do on our own

  • Search the export for the old fact
  • Prepare the lists and corrected drafts as text
  • Check links
  • Write the monthly summary

We ask you first

  • Any change to the source of truth
  • Wider access to your systems
  • Editing or publishing an article
  • Wording a policy

We escalate to you when

  • An article contradicts your policy page
  • The same article is flagged two months running
  • The exports stop arriving or change shape
  • A legal term or price appears in conflict between two sources

How you know it held. Seeded test: you change one agreed fact, and the report lists every article containing it, which you can check by searching the help centre yourself. Each month the summary reconciles to the export.

How we keep it true

This service is never finished. Each month's report shows whether the things it watches stayed true, and it continues until you end it.

  1. Check every help article against your current policy and product, with evidence for each Job Optional

Every article gets a status (current, outdated, contradicts another or broken link) with the source it conflicts with, against the sources you name. We change nothing.

Bought separately, each time it is needed; not part of the monthly fee

The one-off full check you can buy on its own at its listed price.

  2. Get a ranked list of customer questions that no help article answers, with example tickets Job Optional

A ranked list of the questions customers ask that no article answers, each marked missing, outdated or hard to find, with at least three example tickets as evidence.

Bought separately, each time it is needed; not part of the monthly fee

The one-off gap report for a deeper look at what is missing.

  3. Get five draft help articles for your top gaps, every claim traced to your source Job Optional

Five draft articles for your top gaps, every factual claim traced to your own source or marked "owner to confirm", with open questions and screenshots-needed lists.

Bought separately, each time it is needed; not part of the monthly fee

The one-off drafting of five articles for the top gaps.

  • A monthly list of new gaps seen in the tickets you export
  • A short written summary

Not included

  • Editing or publishing any article
  • Round-the-clock cover or a response-time guarantee
  • Judging whether a policy is right or lawful

  • Translations

How we know it’s done

Agreed with you before work starts. Each check produces evidence you keep.

  1. In a seeded test, you change one agreed fact in a copy and the report lists every article containing it, which you confirm by searching.

Evidence: The seeded fact, the list and your own search results.

  2. The monthly summary reconciles to the export: the number of articles checked equals the number in the export.

Evidence: The summary beside the export row count.

  3. The turnaround on each flagged change is measured from your message to our list and reported.

Evidence: The message time and the list time for each change.

Sign-off. You read each monthly list and tell us whether the source of truth and the days still suit you. A month counts as delivered when you have the list and the summary.

If it fails. If we cannot check a month because an export is missing or has changed, we say so and do not guess. If the service is not working for you, you can end it at the end of any month.

When it fits, and when we stop

It fits when

  • A named source of truth: a changelog, pricing page or policy
  • A named owner who tells us when something changes
  • A read-only export of the help centre each month
  • A ticket export for the gap list, redacted by you

We stop and tell you if

  • Nobody tells us about changes
  • No source of truth can be named
  • The help centre is far larger than agreed and you do not want a quoted larger scope

What could go wrong

The service reads and reports, so there is nothing to undo. Ending it leaves your help centre as it is; you keep every list and draft.

Scroll the table sideways to read it all.

RiskHow we handle it
A flagged fact is missed in an article that words it differentlyWe search for the fact in its different forms, and the report lists articles with images or video as not fully checked.
A draft is published without checkingDrafts are marked "owner to confirm" until your owner confirms, and we never publish.
Nobody tells us about changesThe monthly list still finds conflicts between articles, and the service stops if no one names a change source.

A separate automated reviewer checks each monthly list and draft before it is sent. No human supervisor is included unless your agreement names one. At launch the work is largely automated, and we say so.

Stays with a person

  • You or your named owner confirm and publish every change
  • You approve any change to the source of truth

Access we would need

  • A read-only monthly help-centre export or crawl
  • A redacted ticket export for the gap list

Questions

Do you update my articles?

No. We send corrected drafts; your owner confirms and publishes.

What if I forget to tell you about a change?

The monthly check still finds conflicts between articles and with your source of truth.

Is there a promised turnaround?

The days are agreed in writing before the service starts and reported each month. No general turnaround is promised.

Is this the same as the shop answer-sheet check?

No. That job re-checks one answer sheet against up to 30 shop policy pages. This one covers up to 200 help articles and the gaps seen in your tickets.
