Job saved-replies-library-from-your-resolved-tickets · revised 12 October 2026
Get about 20 saved replies for your repeated questions, each checked against your policy
About 20 saved replies, one per repeated question, each traced to a policy source, with the share of the last 90 days of tickets they cover reported, not promised.
You might be seeing
- The same ten questions arrive every week
- Two people give two different answers
- Old replies are copied from sent mail
No passwords, keys, card details or admin invites needed to start.
What usually happened
Repeated questions are answered from memory or old sent mail, so answers drift and out-of-date prices and rules get repeated. A fixed library fixes that only if every reply is tied to a written policy.
Who it’s for: Small-business owner answering the same ten questions by hand from a shared inbox.
Usually starts when: You catch yourself typing the same answer for the fifth time this week, and a colleague has given a different answer to the same question.
The result: You receive about 20 saved replies, one for each of the 20 most repeated questions in your last 90 days of tickets. Each is checked against your written policy, ranked by how often it was needed, and installed in a sandbox or handed over as text.

How we know it’s done
Agreed with you before work starts. Each check produces evidence you keep.
Each of the saved replies traces to a line in your written policy or to a written answer from your owner, shown beside it.
Evidence: The source table, one row per reply.
The coverage figure can be recomputed by you: the number of the last 90 days' tickets that fall in a covered type, divided by all tickets. You sort 30 tickets you pick from the export into covered or not covered before seeing our sort, and agree with our sort on at least 27 (27 of 30 shows a true agreement rate of at least 76% with 95% confidence). The type counts reconcile to the export row count.
Evidence: The counts and the export row numbers behind the figure, and your 30-ticket sort beside ours.
Your policy owner has approved each reply in writing, and replies they changed are marked.
Evidence: The sign-off sheet.
At least 12 replies are signed off; fewer triggers the failure policy.
Evidence: The sign-off sheet with the count of signed-off replies.
Sign-off. Your policy owner signs off each reply and you accept the library in writing. Payment follows sign-off.
If it fails. If your owner will not sign off a reply, it is left out and listed. If fewer than 12 replies are signed off, we agree whether to stop or re-quote.
When it fits, and when we stop
It fits when
- About 90 days of past tickets can be exported with personal details removed
- A person owns the policies and can approve each reply
- About 40 or fewer distinct repeated questions; more is quoted separately
We stop and tell you if
- No written policy exists for the questions asked and nobody will write one
- Tickets contain special-category data we have not agreed to handle
- The owner will not sign off the replies
What could go wrong
The library is delivered as text or a sandbox import. Nothing in your live inbox changes until you import it, and you can delete the templates at any time.
Scroll the table sideways to read it all.
| Risk | How we handle it |
|---|---|
| A reply repeats an out-of-date policy | Each reply names its source and the date you confirmed it, and the owner signs off every one. |
| The coverage figure is read as a promise | It is reported as the share of the last 90 days that falls in a covered type, with how it was counted, and nothing is promised for the future. |
| Real tickets reach us | You redact the export, share it by an agreed secure route and we delete our copies at hand-over. |
A separate automated reviewer checks each reply against its policy source before hand-over, and your policy owner on your side marks the sample and decides what goes live. No human supervisor is included unless your agreement names one. At launch the work is largely automated, and we say so.
How we deliver
We arrange the work and independent review, then show you the result against the agreed checks. You keep authority over your systems.
- Agree the export, the policies and who signs off in writing
- Group the 90 days of tickets into repeated questions and count them
- Draft one reply per repeated question using only your written policy
- Add a source line and variables to each reply
- Independent automated review of every reply against its source
- Your owner signs off each reply; we hand over text or a sandbox import
This is a one-off job, not emergency cover or a subscription. We confirm eligibility, the total price, a start window and a delivery date before you accept. Work starts only after agreed inputs, secure access and any needed permissions are in place. Model usage for our build and tests is included in the price; charges on your own platform account, including per-conversation fees after go-live, are yours. An enquiry creates no charge or booking.
Need to keep it working?
Discuss a monthly service that keeps replies and articles current.
Ongoing work is separately scoped and quoted: no monitoring, response-time guarantee or automatic subscription is included in this job.
Explore an ongoing managed lane, or mention the responsibility you need in your enquiry.
What you can check
This is a new service. We have not delivered this job for a client yet.
Other ways to get this done
- Search your sent mail for the phrase "thanks for getting in touch" and copy your five best replies into your inbox's templates for free.
Questions
Does the library send replies for me?
No. It is text or templates you use. Nothing is sent by us.
Can you promise it covers most of my tickets?
No. We report the share of your last 90 days that it covers, and make no promise about the future.
Who keeps it up to date?
You do, or a monthly help centre service can.
Send an enquiry
Send us
- Your inbox or help desk and about how many tickets a month
- The ten questions you answer most, in your own words
- Who owns the policies
- No customer data, logins or keys in the first enquiry
Later, once you agree
- A redacted export of the last 90 days of tickets through a secure route agreed in writing
- Your written policies, prices and delivery rules
- The policy owner to approve each reply
You keep the inbox and every login. We work from an export you redact and give you text or a file to import. We never send mail or change your inbox.
