Set up an AI chat assistant on a test store, with a notice, hand-over rules and a log
One assistant set up in a tool you already pay for, on a test store, answering from your sheet only, telling customers it is automated, handing over when it should, and logging each chat.
You might be seeing
- The assistant answers a refund question as if it had authority
- Nobody can see what the assistant told a customer last week
No passwords, keys, card details or admin invites needed to start.
What usually happened
A chat assistant is easy to switch on and hard to trust. It may not say it is automated, may answer questions it should hand over, and may leave no record of what it said. Some tools cannot be tested without real customers, so the first test happens in public.
Who it’s for: Owner of an online store that wants an AI chat assistant on the site but not one that invents refunds, hides that it is automated or cannot hand over to a person.
Usually starts when: You have an answer sheet and a chat tool, and you want it configured and shown working on a test store before any customer meets it.
The result: One assistant is set up in a tool you own, on a test store or test account, using only your answer sheet. It shows a first message saying it is automated, hands over on six defined triggers, logs what it looked up, and passes a scripted 20-conversation test. You then apply it to the live store yourself.

Answer these without sending files or logins. Nothing is submitted unless you choose to contact us.
What you get
- The assistant settings, written down step by step
- The first-message text
- The six hand-over rules
- The 20-conversation script and results
- A switch-off and roll-back note
Included
- One assistant in one tool you already pay for, with a test or preview mode and a document as its source
- The answer sheet as its only source of answers
- A first message that says answers come from an automated system and a person can take over
- Six hand-over triggers: refund request, photo claim, legal threat, address change, a request for a person, a question outside the sheet
- A named queue or inbox that takes hand-overs, with its hours
- Conversation logging switched on
- A scripted 20-conversation test with results
Not included
- Buying or choosing the tool
- Letting the assistant issue refunds, cancel or edit orders
- Switching it on in your live store
- Writing the answer sheet (see the answer sheet job)
- Phone, voice or social chat channels
- Legal advice on how you must label an automated system
How we know it’s done
Agreed with you before work starts. Each check produces evidence you keep.
In 20 scripted conversations, 10 written by us and 10 by your named person and kept from us until the final run, the automated-assistant notice is the first thing shown in every conversation, in each of 5 runs. This is a smoke test: 20 of 20 shows a true rate of at least 86% with 95% confidence.
Evidence: The 20 transcripts.
Each of the six hand-over triggers puts the conversation in the queue or inbox you name, with the chat attached, in 5 of 5 repeat runs.
Evidence: The run table, one row per trigger and run, and the entries in your queue or inbox.
No reply in the 20 conversations, in each of the 5 runs, states a refund, price or delivery promise that is not in the sheet; one such reply fails the whole test.
Evidence: The transcripts, with every figure and promise marked against the sheet.
For every conversation, the log shows the sheet line used or that the chat was handed over.
Evidence: The log export for the 20 conversations.
Sign-off. You re-run the acceptance checks with the steps we hand over, read the results and sign off in writing. Payment follows sign-off.
If it fails. If an agreed check fails, you do not pay for this fixed scope. We hand over what we found and agree whether to stop or re-quote; no surprise work.
When it fits, and when we stop
It fits when
- You have an answer sheet, from us or your own, with one named owner
- Your tool has a test or preview mode and can use a document as its source
- A test account or test store exists, owned by you
- A named person can approve the first message and the hand-over rules
We stop and tell you if
- The tool can only be tested on live customers
- You want the assistant to issue refunds, cancel or edit orders by itself
- The sheet's owner cannot say which version of a policy is right
- The tool cannot show an automated-system notice before its first answer
What could go wrong
We change a test store or test account only. Nothing is switched on in your live store or helpdesk by us. Your named person applies the result and can switch it off again with the steps we hand over.
Scroll the table sideways to read it all.
| Risk | How we handle it |
|---|---|
| The notice that this is an automated system is missing or not first. | The test checks the notice appears first in every one of the 20 conversations. |
| The tool cannot do what the test needs, for example show a backorder product the tool wrongly leaves out. | We say so before the test. If a limit blocks acceptance, the job stops and you do not pay. |
| Money leaves because the assistant approves a refund. | The assistant is set to answer from the sheet and hand over only. Refund and cancel actions stay off, and the test tries to trigger them. |
A separate automated reviewer checks the work and the test results before hand-over. Your named person approves the first message, the hand-over rules and the decision to go live. No human supervisor from us is included unless your agreement names one, and at launch the work is largely automated.
How we deliver
We arrange the work and independent review, then show you the result against the agreed checks. You keep authority over your systems.
- Agree the tool, the sheet, the first message and the six triggers
- Set up a test account and load the sheet as the only source
- Write 10 test conversations covering every trigger; add your 10 sealed ones
- Run the script five times and record every reply
- A separate automated reviewer checks settings and results; then hand over
- Your person applies the settings live, using our switch-off note
This is a one-off job, not emergency cover or a subscription. We confirm eligibility, price, start window and delivery date in writing before you accept, and work starts only after the agreed inputs are in place. An enquiry creates no charge or booking.
Need to keep it working?
Discuss a monthly re-test of the assistant, or a check before peak season.
Ongoing work is separately scoped and quoted: no monitoring, response-time guarantee or automatic subscription is included in this job.
Explore an ongoing managed lane, or mention the responsibility you need in your enquiry.
What you can check
This is a new service. We have not delivered this job for a client yet.
Other ways to get this done
- Use the tool's own guided set-up, and test it yourself with questions from your past tickets.
- A well organised help page can answer many questions without any assistant.
Questions
Which tool do you use?
The one you already pay for. We configure it on a test account that you own.
Will the assistant say it is automated?
Yes. The first message says answers come from an automated system and a person can take over, and the test checks it.
Do you give legal advice on labelling?
No. We include a notice line. Whether the law requires it for you is for your adviser.
Does a pass mean it will be right next month?
No. A pass describes items like the test sample on the day of the test. It is not a promise about future items, and it does not replace your own checking.
How is this different from the help-page chatbot job?
That job builds a chatbot that answers from your help pages and tests it on 115 questions. This one sets up a tool you already pay for to answer customer questions about orders, delivery, returns and products on a store, from your answer sheet. Its 20-conversation test is a smoke test.
Send an enquiry
Send us
- Which tool you use and whether it has a test or preview mode
- Your answer sheet, or a note that you need one first
- The six hand-over triggers you want, if different
- No store or helpdesk logins
Later, once you agree
- A test account or test store of the tool, set up and held by you
- The answer sheet and its owner's name
- The queue or inbox that takes hand-overs, with its hours
- 10 test conversations that you write, kept from us until the final run
- The first-message wording you approve
- A secure route for the settings screens we ask you to share, with customer data hidden
You keep your store, your helpdesk and every live login, and we work on the files you send through a secure route agreed after you say yes, and hand back files and a report. We never ask for logins to your live store or helpdesk; for the test account we use a separate login that you create, share through that route and can revoke. Nothing goes live until your named person applies it.
