Standing service

Re-check your answer sheet against your policy pages every month and before peak season

Each month we compare your answer sheet with your live policy pages, list every changed line and affected answer, and re-run the test questions.

This starts a conversation by email. Nothing is charged, and nothing is checked, until we have agreed scope and terms with you in writing.

The responsibility you hand over

An answer sheet starts correct and drifts. A policy page changes, a shipping cut-off moves, and the sheet or the assistant still repeats the old line. The cost is a customer holding you to a promise you no longer make.

Who it’s for: Owner or operations lead of a store that already has an answer sheet, or a chat assistant fed from policy pages, and changes prices, shipping or policies during the year.

Usually starts when: You changed a return window or shipping rule and nobody updated what the assistant says, or peak season is coming.

The result: Every month you receive a note listing each change on your live policy pages, each answer line it affects, and the re-run results of the test questions. A change your named person plants in a copy during the first month is caught.

What stays true, and what we do about it

No response-time guarantee is published for this new service. A target for delivering each report is agreed in writing before it starts, set to what a service at this stage can keep.

Hours are agreed in writing before the service starts. At launch the service is not staffed round the clock and runs on the schedule we agree.

What must remain true

  • Every line of the sheet matches your live pages, or is listed as changed
  • No changed line stays unlisted for more than one monthly note

What we watch

  • Your public policy, shipping and product pages, read each month
  • Changes you tell us about when you make them
  • The 40-question test set from the set-up job

WhenWhat we do
A policy page changes, for example the return window. We list every affected answer line in the next note and re-run the test set.
Peak season or a sale is about to start. We run an extra check of the sheet and the test set before the date you name.
The test set shows a new miss.We list the question, the line involved and the likely cause, and propose a sheet change for your approval.
You do not yet have a sheet. We point you to the one-off job that writes the sheet and the first test.
Linked job: Support answer sheet and test

We do on our own

  • Read your public pages
  • Compare them with the sheet
  • Re-run the test set and write the note
  • Propose sheet changes

We ask you first

  • Any change to the sheet itself
  • Any change to the always-hand-over list
  • Anything that needs a page behind a login

We escalate to you when

  • Two of your pages disagree again
  • A page we check moves behind a login or disappears
  • A change touches refunds, safety or legal wording

How you know it held. Each month the note lists every page checked with the date it was read and every changed line, and you can re-run the test set with the steps we hand over.

How we keep it true

This service is never finished. Each period's report shows whether the thing it checks stayed true, and it continues until you end it.

  1. Write down what your shop promises so answers come from it, then test it on 40 questions Job Optional

One answer sheet built only from your own policies and product facts, every line sourced, with a list of questions that always go to a person, tested on 40 questions.

Bought separately, each time it is needed; not part of the monthly fee

The one-off job that writes the sheet and the first 40-question test.

  2. Set up an AI chat assistant on a test store, with a notice, hand-over rules and a log Job Optional

One assistant set up in a tool you already pay for, on a test store, answering from your sheet only, telling customers it is automated, handing over when it should, and logging each chat.

Bought separately, each time it is needed; not part of the monthly fee

The one-off job that sets up an assistant on a test store from the sheet.

  • A short monthly note

Not included

  • Pages behind a login
  • Answering customers
  • Legal advice
  • Out-of-hours cover or a guaranteed response time

How we know it’s done

Agreed with you before work starts. Each check produces evidence you keep.

  1. Each month the note lists every changed line on the pages read, with the date each page was read.

Evidence: The monthly note, compared with the pages you hold.

  2. In the first month your named person plants one change in a copy of your return page (for example 30 days to 14 days) without telling us where, and the note lists every answer line it affects.

Evidence: The change you planted and the note side by side.

  3. Each month the test set is re-run and every question whose result changed since last month is listed.

Evidence: The re-run table for both months.

Sign-off. You read each report and tell us whether the rules and thresholds still suit you. A period counts as delivered when you have the report.

If it fails. If we cannot complete a period because an input is missing or has changed shape, we say so, explain what we need and do not guess. If the service is not working for you, you can end it at the end of any month.

When it fits, and when we stop

It fits when

  • An answer sheet with source lines exists (from the answer sheet job or your own)
  • Your policy pages are public and one person owns them
  • You tell us of policy, price or shipping changes when you make them, or accept that we find them at the monthly read
  • A named person reads each note

We stop and tell you if

  • Your pages sit behind a login and cannot be shown to us in another way
  • The pages change so often that a monthly read cannot keep up, so we agree a different scope
  • The sheet has no sources, so a change cannot be traced to a line

What could go wrong

The service reads what you send and reports. Nothing in your store or helpdesk is changed by us, so there is nothing to undo. Ending it leaves your systems as they are, and you keep every report we sent.

Scroll the table sideways to read it all.

RiskHow we handle it
A page changes between monthly reads and the sheet is wrong for weeks. You tell us of changes when you make them; the monthly read is the backstop, not live monitoring.
A clean note is read as a guarantee that answers are right. Each note says it compares your pages with the sheet and re-runs the test; it does not promise what any assistant will say.

A separate automated reviewer checks the work and the test results before hand-over. Your named person approves every change to the sheet. No human supervisor from us is included unless your agreement names one, and at launch the work is largely automated.

Stays with a person

  • You approve every sheet change
  • You apply any change in your assistant or helpdesk

Access we would need

  • Public pages, read by us
  • The sheet and test set you send

Questions

Is this live monitoring?

No. It is a monthly read of your public pages, plus an extra read before a date you name.

Do you change my assistant?

No. We propose sheet changes. You approve them and apply them.

Does a clean report mean nothing is wrong?

No. It means nothing was found in the inputs you sent, by the checks listed here. It is not assurance, and it does not replace your own checking.

Send an enquiry

Send us

  • Links to the pages the sheet is built from
  • How often your policies change
  • Any date, such as a sale or peak season, to check before
  • No customer data or logins

Later, once you agree

  • The current sheet and its test set through a secure route
  • A named person who approves sheet changes
  • A list of changes when you make them, if you can

You keep your store, your helpdesk and every login. We work on the files you send through a secure route agreed after you say yes, and hand back files and a report. We never ask for store or helpdesk logins, and nothing goes live until your named person applies it.
