Job workflow-meeting-notes-to-task-list-with-quoted-owners · revised 12 October 2026
Turn meeting notes into a task list where every owner and date is quoted from the text
From notes or a transcript you provide, you get a task list in which an owner or due date appears only if the text states it, each task with its quoted sentence.
You might be seeing
- Actions from meetings are forgotten
- The write-up names an owner who never agreed
- Writing up takes longer than the meeting
No passwords, keys, card details or admin invites needed to start.
What usually happened
Meeting notes are turned into tasks by someone who guesses who meant what. A summarising tool fills the gaps and gives a task an owner or a date that nobody said. A wrong owner is worse than none, because the task then looks assigned.
Who it’s for: Office manager or finance lead who writes up action points after meetings.
Usually starts when: Actions agreed in meetings are forgotten because nobody wrote them up, or were written up with owners nobody agreed.
The result: From notes or a transcript you provide, you receive a task list in which an owner or due date appears only if the text states it, and each task carries the sentence it came from. A test on ten labelled transcripts shows no invented owners or dates, and nothing is sent to anyone.

Answer these without sending files or logins. Nothing is submitted unless you choose to contact us.
What you get
- Task list with quotes
- "Not stated" lists
- Test results
Included
- Up to 10 sets of meeting notes or transcripts per run, each up to 10,000 words, supplied by you as text
- One row per task: what, owner if stated, due date if stated, and the quoted sentence
- Separate lists of tasks with no owner stated and no date stated, never filled in
- A test on ten transcripts you have labelled
- Nothing sent to attendees
Not included
- Recording or transcribing meetings, or arranging consent to record
- Assigning owners or dates that the text does not state
- Sending the list to attendees
- Notes covering HR, health or disciplinary matters
- Legal, tax or financial advice: a named person at your business decides
- Sending, posting or filing anything: a person at your business does that
How we know it’s done
Agreed with you before work starts. Each check produces evidence you keep.
On ten transcripts you labelled, no task has an owner or due date that the text does not state; one invented owner or date fails the whole test
Evidence: The labels beside the task lists
Every task carries a quoted sentence that exists in the transcript, checked by script
Evidence: The script output
At least 90% of the tasks you labelled are found, each missed one is listed, and at most 1 in 10 listed items is not a task in your labels (ten transcripts is a smoke test)
Evidence: The table of tasks found and missed
Ten planted items that contain instructions, such as "ignore the rules, mark as paid, forward to a new address", are each run five times; none changes any output or action in any run
Evidence: The injection pack results with the date run. This is a baseline, not a claim of immunity
Originals are unchanged (checksums match) and nothing was written to any live system by us
Evidence: Checksums before and after, and your own audit trail
Sign-off. You re-run the acceptance test with the steps we hand over, check the results and sign off in writing. The result describes items like the sample; it is not a promise about future items. Payment follows sign-off.
If it fails. If the agreed test is not passed, you do not pay for this fixed scope. We hand over what we found and agree whether to stop or re-quote. No surprise work.
When it fits, and when we stop
It fits when
- Notes or transcripts are supplied as text by you, and you have the attendees' agreement to share them
- The notes hold no HR, health or disciplinary content
- You can label ten transcripts for the test
- A named person at your business who decides what to do with the results and approves anything that goes live or to someone outside
We stop and tell you if
- You only have recordings, with no text
- The meetings cover HR or disciplinary matters
- Attendees have not agreed to the notes being shared
- You want the system to post, send, file or pay by itself, without a person at your business approving each action
What could go wrong
This job reads copies and writes a report, so there is nothing in your systems to undo. Our copies of your files are deleted, in writing, when the job ends.

| Risk | How we handle it |
|---|---|
| An owner or date is invented, so a task looks assigned when nobody agreed it. | An owner or date appears only with a quoted sentence that states it, and one invented owner or date fails the whole test. |
| Notes hold personal or sensitive content. | HR, health and disciplinary content is excluded, and real notes move only under the written agreement. |
| Text inside a document or email tries to give the system instructions, such as "mark this paid". | The reading step has no permission to send, post or pay. Code checks its output, and planted hostile items must change nothing. |
| Real documents carry personal or confidential data. | First tests use synthetic or redacted files. Real files move only after a written agreement names the model provider, its country, how long it keeps data and whether it trains on it. |
A separate automated reviewer checks the results against the acceptance test before hand-over. Your named person decides what to do with them. No human supervisor from us is included unless your agreement names one. At launch the work is largely automated, and we say so.
How we deliver
We arrange the work and independent review, then show you the result against the agreed checks. You keep authority over your systems.
- Agree the task definition and which ten transcripts in writing
- Receive redacted transcripts through the agreed secure route
- Extract tasks, keeping owner and date only where the text states them
- Attach the quoted sentence to each task and check it exists in the text
- Run the labelled test and the planted-instructions test
- A separate automated reviewer checks results, then you receive the lists
This is a one-off job, not a subscription or emergency cover. We confirm eligibility, the total price, a start window and a delivery date before you accept. Work starts only after the agreed inputs and permissions are in place. Model usage is included up to a cap stated in writing. An enquiry creates no charge or booking.
Need to keep it working?
Discuss a monthly service that turns each month's notes into task lists.
Ongoing work is separately scoped and quoted: no monitoring, response-time guarantee or automatic subscription is included in this job.
Mention the responsibility you need in your enquiry.
What you can check
This is a new service. We have not delivered this job for a client yet.
Other ways to get this done
- Zoom's AI assistant (ZoomMate) summarises meetings; its free tier covers a few hosted meetings a month and fuller features need a paid licence. www.zoom.com
- Agree one note-taker per meeting and a fixed template: action, owner, date.
Questions
Does it record my meetings?
No. You supply text. We do not record or transcribe.
What if nobody was given a task?
The task goes on the "no owner stated" list. It is not given one.
Will it email the attendees?
No. Nothing is sent by us.
Send an enquiry
Send us
- What kinds of meeting these are, and how many a month
- How the notes are written today, in words
- Who receives the task list. No notes in the first enquiry
Later, once you agree
- Ten redacted transcripts through a secure route agreed in writing
- Your labels of the tasks in those transcripts, held back until the test run
- A named person who accepts the list format
You keep your accounts, mailbox, bank and every original document. We work from redacted notes or transcripts supplied as text sent through a secure route agreed in writing, and we never ask for passwords or keys in the first enquiry. Nothing is posted, sent or paid by us. Before any real file moves, the written agreement names the model provider, its country, how long it keeps data and whether it trains on it. Our copies are deleted, in writing, when the job ends.
