Job phone-call-transcripts-summarised-with-promises-listed-for-your-team · revised 12 October 2026

Get a five-line staff note for each call transcript you already hold, with promises listed

Each call transcript you already hold gets a five-line staff note with the promises made and who made them. Figures and dates are copied from the transcript and checked on 30 calls.

You might be seeing

  • Follow-up calls start with re-reading transcripts
  • Promises made on calls are not written anywhere else
  • Transcripts mishear names and numbers

No passwords, keys, card details or admin invites needed to start.

What usually happened

Call transcripts contain mistakes in names and numbers, and a summary can attach a promise to the wrong speaker. A wrong note is worse than none when an agent relies on it for a follow-up.

Who it’s for: Support lead whose phone calls are transcribed by a tool you already use, and whose agents re-read long transcripts to follow up.

Usually starts when: A follow-up call starts with "what did we promise last time?", and nobody has time to read a 20-minute transcript.

The result: Each transcript you already hold gets a five-line staff note: issue, what was tried, what the customer asked, promises made and by whom, and the next step. Names, numbers, dates and amounts are copied from the transcript and flagged "check against the recording" where the transcript looks uncertain.

How we know it’s done

Agreed with you before work starts. Each check produces evidence you keep.

  1. On 30 transcripts your reviewer checks all five fields and counts invented facts and wrong speakers; at least 28 items pass, and any invented fact or wrong speaker fails that item; the two allowed misses cannot be an invented name, number, date or amount. Ten of the 30 were chosen by your reviewer and unseen by us until the final run, and their results are reported separately. The mixed development and held-back score is not a measured unseen-transcript pass rate.

Evidence: The 30-transcript sheet with your counts and the held-back marker.

  2. Every name, number, date and amount in a note appears in the transcript, checked by search on all 30.

    Evidence: The search results.

  3. Uncertain speaker labels and figures carry a "check against the recording" flag.

    Evidence: The flagged items.

Sign-off. Your reviewer reads the sheet and you sign off in writing. Payment follows sign-off.

If it fails. If fewer than 28 of 30 pass after one rewrite of the rules, we retest on the 10 further transcripts, hand over the results and you decide whether to stop or re-quote.

When it fits, and when we stop

It fits when

  • You already hold transcripts and have the right to use them for this purpose
  • Transcripts can be shared with personal details removed
  • A reviewer on your side can check the notes against the transcripts

We stop and tell you if

  • You need us to handle audio or live calls
  • You want emotion analysis or agent scores
  • The call recording notice or consent does not cover this use

What could go wrong

Notes are text we hand over. Nothing is added to your call tool or help desk, and we delete our copy of the transcripts at hand-over.

Scroll the table sideways to read it all.

RiskHow we handle it
A note attaches a promise to the wrong speakerThe "who" of each promise is checked against the transcript on all 30, and a wrong speaker fails that item.
A misheard number is copied as factFigures are copied from the transcript only and flagged where uncertain; the agent checks the recording.
Call data is used beyond what callers were toldYou confirm in writing that your notice and consent cover this use; the rules differ by country and are yours.

A separate automated reviewer checks each note against its transcript before hand-over, and your reviewer on your side marks the sample and decides what goes live. No human supervisor is included unless your agreement names one. At launch the work is largely automated, and we say so.

How we deliver

We arrange the work and independent review, then show you the result against the agreed checks. You keep authority over your systems.

  • Agree the template, the pass mark and the severe-error list in writing
  • Confirm in writing your right to use the transcripts for this
  • Write notes copying names, numbers and dates only from the transcript
  • Flag uncertain speaker labels and figures for checking against the recording
  • Your reviewer counts invented facts and wrong speakers on all 30; 10 held back
  • Independent automated review; hand over the template and results

This is a one-off job, not emergency cover or a subscription. We confirm eligibility, the total price, a start window and a delivery date before you accept. Work starts only after agreed inputs, secure access and any needed permissions are in place. Model usage for our build and tests is included in the price; charges on your own platform account, including per-conversation fees after go-live, are yours. An enquiry creates no charge or booking.

Need to keep it working?

Discuss a monthly sample check of the notes.

Ongoing work is separately scoped and quoted: no monitoring, response-time guarantee or automatic subscription is included in this job.

Mention the responsibility you need in your enquiry.

What you can check

This is a new service. We have not delivered this job for a client yet.

Other ways to get this done

  • Check whether your call tool already summarises calls. Test it on 30 calls, counting every wrong name, number and speaker.

Questions

Do you listen to calls?

No. We receive redacted written transcripts only.

Is the note sent to the caller?

No. It is for your staff.

Who is responsible for call recording consent?

You are. We ask for your written confirmation that it covers this use.

Send an enquiry

Send us

  • The tool that makes your transcripts and roughly how many calls a week
  • The five fields you want in a note
  • Who would read the notes
  • No customer data, logins or keys in the first enquiry

Later, once you agree

  • At least 40 redacted transcripts: 30 for the test, 10 of them chosen by your reviewer and unseen by us until the final run, and 10 more kept for any retest
  • Your approved note template
  • A reviewer on your side
  • Confirmation, in writing, that you may use the transcripts for this purpose

You keep the transcripts, the recordings and every login. We receive redacted text through a secure route agreed in writing and never receive audio or contact a caller.

A public HTTPS link only, without login details, query strings or fragments. No code or logs.
