Job closed-chat-summaries-with-commitments-listed · revised 12 October 2026
Get a five-line note on each closed or escalated support thread, with promises made listed
Each closed or escalated thread gets a five-line staff note: issue, what was tried, what the customer asked, promises made and next step, checked on 30 threads.
You might be seeing
- Agents re-read long threads before they can reply
- Promises made earlier in a thread are forgotten
- Handoff notes vary by agent
No passwords, keys, card details or admin invites needed to start.
What usually happened
Long threads hide what was promised, and the next agent has to read every message to find it. Summaries that invent facts or drop a promise are worse than no summary.
Who it’s for: Support lead with long threads and handoffs between agents.
Usually starts when: An agent picks up a 40-message thread and asks the customer to repeat everything, and a promise made earlier is missed.
The result: Each closed or escalated written thread gets a five-line staff note: the issue, what was tried, what the customer asked, promises made and the next step. The note is internal and the "promises made" line is never sent to a customer.

How we know it’s done
Agreed with you before work starts. Each check produces evidence you keep.
On 30 threads your reviewer checks that all five fields exist and counts invented facts; at least 28 of 30 items pass, and any invented fact fails that item (28 of 30 shows a true pass rate of at least 80% with 95% confidence); 10 of the 30 threads were chosen by your reviewer and unseen by us until the final run.
Evidence: The 30-thread sheet with your counts and the held-back marker.
A promise in the thread that is missing from the "promises made" line, or a promise in the line that is not in the thread, fails that item (counted in the 28 of 30).
Evidence: The promises table beside the thread.
Threads over 20 messages are summarised in parts, and the note says so.
Evidence: The long-thread list with the note.
Sign-off. Your reviewer reads the sheet and you sign off in writing. Payment follows sign-off.
If it fails. If fewer than 28 of 30 pass after one rewrite of the rules, we retest on the 10 further threads, hand over the sheet and the open failures and you decide whether to stop or re-quote.
When it fits, and when we stop
It fits when
- Written threads can be exported with personal details removed
- A reviewer on your side can check the notes
- A help desk that can show an internal note, or a file we hand you
We stop and tell you if
- The source is call audio
- Threads hold special-category data we have not agreed to handle
- You want notes shown to customers
What could go wrong
Notes are text we hand over and nothing is added to your help desk. Discard the rules and you are back to reading threads.
Scroll the table sideways to read it all.
| Risk | How we handle it |
|---|---|
| A note invents a fact or a promise | Any invented fact fails that item and at least 28 of 30 must pass. |
| A promise is dropped | The "promises made" line is checked against the thread for every item. |
| A note is sent to a customer by mistake | The template is marked for staff only and we never send anything. |
A separate automated reviewer checks each note against its thread before hand-over, and your reviewer on your side marks the sample and decides what goes live. No human supervisor is included unless your agreement names one. At launch the work is largely automated, and we say so.
How we deliver
We arrange the work and independent review, then show you the result against the agreed checks. You keep authority over your systems.
- Agree the five fields, the pass mark and the severe-error list in writing
- Split threads over 20 messages into parts before summarising
- Write notes for the 30 redacted threads
- Your reviewer checks all five fields and counts invented facts
- Independent automated review of every note against its thread
- Hand over the template, rules and results
This is a one-off job, not emergency cover or a subscription. We confirm eligibility, the total price, a start window and a delivery date before you accept. Work starts only after agreed inputs, secure access and any needed permissions are in place. Model usage for our build and tests is included in the price; charges on your own platform account, including per-conversation fees after go-live, are yours. An enquiry creates no charge or booking.
Need to keep it working?
Discuss a monthly check of note quality on a fresh sample.
Ongoing work is separately scoped and quoted: no monitoring, response-time guarantee or automatic subscription is included in this job.
Mention the responsibility you need in your enquiry.
What you can check
This is a new service. We have not delivered this job for a client yet.
Other ways to get this done
- Check whether your help desk already summarises threads. If it does, test it on 30 threads before buying. support.zendesk.com
Questions
Is the note shown to customers?
No. It is for staff, and the promises line is never sent.
Does it replace reading threads?
It helps a handoff. The agent still reads what matters.
What about calls?
Calls are a separate job that works from transcripts you already hold.
Send an enquiry
Send us
- Your help desk and how long threads usually are
- The five fields you want in a note
- Who would read the notes
- No customer data, logins or keys in the first enquiry
Later, once you agree
- A redacted export of 40 threads: 30 for the test, 10 of those chosen by your reviewer and unseen by us until the final run, and 10 more kept for one retest
- Your approved note template
- A reviewer on your side
- A secure route agreed in writing before any thread is shared
You keep the help desk and every login. We work from a redacted export and give you notes as text. We never add notes to your help desk or message a customer.
