Standing service regulated-firm-assistant-wording-retested-every-month · revised 12 October 2026

Standing service

Have your firm's assistant re-tested against its approved wording every month

Each month the assistant's replies are re-checked against your signed-off library, the advice-refusal set is re-run, expiring items are listed and a conversation sample is read.

This starts a conversation by email. Nothing is charged, and nothing is monitored, until we have agreed scope, access and terms with you in writing.

The responsibility you hand over

A library that was right at launch goes out of date, items expire and the website changes. Nobody reads the conversation log until a complaint arrives. A refusal that nobody re-tests may have stopped working after a widget or vendor change.

Who it’s for: Compliance officer or partner at an advice firm whose website assistant is live and who must show it still stays inside approved wording.

Usually starts when: A library item changed or expired, your regulator's rules moved, or your supervisor asked for evidence that the assistant still refuses advice.

The result: Every month the 200-question set is re-run and every reply is checked by script against your signed-off library, a random sample of 30 logged conversations is read, items near expiry are listed, and your compliance person receives a report.

What stays true, and what we do about it

No response-time guarantee is published for this new service. A date for each monthly report is agreed in writing before it starts.

Hours are agreed in writing before the service starts. It runs once a month and is not staffed round the clock.

What must remain true

  • Every reply in the monthly re-run is an approved item returned unchanged, or fixed refusal or handover wording
  • Every advice-seeking and personal question in the set is still refused or handed over
  • No expired library item is returned, and items due to expire are listed in advance

What we watch

  • A read-only export of the month's conversation log
  • The library with sign-off and expiry dates
  • Your list of wording and website changes

WhenWhat we do
A month closes and the log export is available. We re-run the set, check every reply by script, read the sample and send the report.
You change, add or retire a library item.We re-run the set on a copy before you publish the change, and report any reply that is not an approved item.
The widget, the website or the model vendor changes. We re-run the full set on a copy and list every reply that changed.

We do on our own

  • Re-run the set and check every reply by script
  • Read and classify the sampled conversations
  • Write the report and the expiry list

We ask you first

  • Any request for wider log access
  • Any change to the refusal wording
  • Any change to a rule, setting or page in your own systems
  • Any wider access than the exports named here
  • Contacting your customers or anyone outside your team

We escalate to you when

  • A reply that is not an approved item, a fixed refusal or a fixed handover
  • A sampled conversation where the assistant gave or seemed to give advice
  • An expired item was returned
  • A visitor shared personal circumstances in the log

How you know it held. After the report is frozen, your compliance person selects 10 sampled conversations and checks the classifications and any missed severe error.

How we keep it true

This service is never finished. Each month's report shows whether the things it watches stayed true, and it continues until you end it.

  1. Let a website assistant answer only from approved wording and refuse to give advice Job Optional

For a regulated firm: a website assistant that returns only wording your compliance person approved, refuses advice, says it is automated, and hands over to a named adviser.

Bought separately, each time it is needed; not part of the monthly fee

The one-off job; buy it first if you do not yet have one.

What is included, and what is not

  • The monthly report
  • The re-run results and the script's reply check
  • The conversation sample table with the seed
  • The expiry list

Included

  • One assistant on one website, built under the one-off job on this site or one you can show us
  • A re-run of the 200-question set, including the advice-seeking and hostile sets, with every reply checked by script
  • A random sample of 30 logged conversations read and classified, with the seed recorded
  • A list of library items expired or due to expire within 60 days
  • A monthly report for your compliance person

Not included

  • Writing or approving library wording
  • Advice or a view on what your regulator expects
  • Changing the assistant, the library or the website
  • Contacting your clients
  • Any promise about enquiries, leads or compliance

How we know it’s done

Agreed with you before work starts. Each check produces evidence you keep.

  1. Every reply in the monthly re-run is checked by script against the library, and any reply that is not an approved item or fixed wording is listed first.

Evidence: The script's check of all replies.

  2. After the report is frozen, your compliance person independently selects 10 conversations from the 30 sampled, without showing their verdicts to us, and agrees with at least 9 classifications; any missed advice, expired wording or non-approved reply fails this report check.

Evidence: The seed, the 10 conversations and the person's marks beside ours.

  3. The report lists every item expired or due to expire within 60 days, and an item set to expire yesterday on the copy is not returned.

Evidence: The expiry list and the copy test.

  4. No library item, setting or page has been changed by us.

Evidence: Your site and assistant change history for the month.

Sign-off. You read each report, re-run the checks it lists and tell us whether the marks and limits still suit you. A month counts as delivered when you have the report.

If it fails. If we cannot do a month because an export is missing or has changed, we say so and do not guess. If the service is not working for you, you can end it at the end of any month.

When it fits, and when we stop

It fits when

  • An assistant built under the one-off job or one with a reply-checking script and a signed-off library
  • A read-only export of the conversation log
  • A named compliance person who reads the report

We stop and tell you if

  • The library has no sign-off dates
  • Log access is refused and no reduced test-only scope and price have been agreed in writing
  • Nobody can approve a wording change

What could go wrong

The service reads exports and reports, so there is nothing to undo. Ending it leaves your systems exactly as they are; you keep every report.

Scroll the table sideways to read it all.

RiskHow we handle it
A sample of 30 misses a rare error. The report states the sample size and that a sample is a tripwire. The script still checks every reply in the re-run.
The report is read as a compliance statement. The report compares replies with your library and gives no view on your regulator's rules.
Logs carry personal data.Access is read-only under written terms, and the provider, its country and its retention are named in writing first.

A separate automated reviewer checks each report and the rerun results. Your compliance person checks the held-back conversation sample and approves every wording change. No human supervisor from us is included unless the written agreement names one.

Stays with a person

  • Your compliance person approves every library change
  • You hold the kill switch

Access we would need

  • A read-only export of the conversation log
  • A copy of the assistant or a test page for the re-runs

Questions

Do you tell me if the wording meets my regulator's rules?

No. We compare replies with your signed-off library. Your compliance person decides what the rules require.

What if I refuse log access?

We cannot deliver the conversation sample without the log; we offer a reduced test-only scope and price in writing before you agree.

Send an enquiry

Send us

  • Which assistant and website
  • How many conversations it has each month
  • No logins, keys, customer data or payment details in the first enquiry

Later, once you agree

  • A monthly read-only export of the conversation log through the agreed route
  • The current library with sign-off and expiry dates
  • Your wording and website changes, the frozen 200-question suite with expected answers, and a runnable copy or test page through the agreed route

You keep the website, the assistant and every login. We read a log export you generate, re-run tests on a copy, and never change the library, the assistant or the site.

A public HTTPS link only, without login details, query strings or fragments. No code or logs.

Sending emails your enquiry and contact address to our team through our mail provider (Resend). It is not kept in a website database. Do not send passwords, keys, recovery links, confidential code or customer records. Your contact email is unverified; nothing is ordered, charged or reserved. Privacy notice.
