Standing service store-reorder-sheet-refreshed-monthly · revised 12 October 2026
Standing service
Refresh your reorder sheet every month from your latest sales and test it again
Each month we recompute your reorder sheet from your newest orders and stock, repeat the backtest against a flat-average baseline, and list every SKU whose reorder point changed.
This starts a conversation by email. Nothing is charged, and nothing is checked, until we have agreed scope and terms with you in writing.
The responsibility you hand over
A reorder sheet is a snapshot. Sales shift, lead times change and a promotion distorts a month. Without a monthly refresh and a repeated backtest nobody knows whether the sheet still beats a simple average.
Who it’s for: Owner or buyer who has a reorder sheet and finds it goes stale as sales, seasons and supplier lead times change.
Usually starts when: Last quarter's reorder sheet no longer fits this quarter's sales, and a best seller ran out again.
The result: Every month you receive a refreshed reorder sheet from your latest orders and stock, with out-of-stock days removed, a list of every SKU whose reorder point changed, and a backtest on the latest eight weeks against a flat-average baseline that says which wins.
What stays true, and what we do about it
No response-time guarantee is published for this new service. A target for delivering each report is agreed in writing before it starts, set to what a service at this stage can keep.
Hours are agreed in writing before the service starts. At launch the service is not staffed round the clock and runs on the schedule we agree.
What must remain true
- The sheet reflects the latest month of orders and stock, with out-of-stock days removed
- Every change in a reorder point since last month is listed
What we watch
- The monthly export of order lines and stock levels
- The written formula
- Lead-time and promotion notes you send

| When | What we do |
|---|---|
| A month's export arrives. | We refresh the sheet, list changes and repeat the backtest. |
| The backtest shows the baseline beating the sheet. | We say so plainly and hand over the baseline for that month. |
| A supplier lead time changes. | We recompute cover days for that supplier's SKUs and list the change. |
| You have no sheet yet. | We point you to the one-off job that builds it. Linked job: Reorder sheet from sales history |
We do on our own
- Refresh the sheet and the backtest
- List changes and write the monthly note
We ask you first
- Any change to the formula
- Any new SKU group or supplier rule
- Anything that would place an order
We escalate to you when
- Many SKUs change reorder point at once
- The baseline beats the sheet two months running
- The export changes shape
How you know it held. Each month the note states the export date range, the rows read and the backtest result, and you can recompute any ten SKUs from the formula.
How we keep it true
This service is never finished. Each period's report shows whether the thing it checks stayed true, and it continues until you end it.

How we know it’s done
Agreed with you before work starts. Each check produces evidence you keep.
Each month the sheet states the export date range and the rows read, and any ten SKUs recompute from the formula.
Evidence: The monthly note and your recomputation.
Each month every SKU whose reorder point changed is listed with its old and new value.
Evidence: The change list beside last month's sheet.
Each month the backtest builds the sheet from data older than the latest eight weeks, compares it with the flat-average baseline on those eight weeks, and states which won; won means a lower total absolute error between recommended and sold units across all SKUs.
Evidence: The backtest table.
Sign-off. You read each report and tell us whether the rules and thresholds still suit you. A period counts as delivered when you have the report.
If it fails. If we cannot complete a period because an input is missing or has changed shape, we say so, explain what we need and do not guess. If the service is not working for you, you can end it at the end of any month.
When it fits, and when we stop
It fits when
- A reorder sheet from the one-off job, or another with a written formula
- A monthly export of order lines and stock levels without customer data
- You tell us of lead-time changes and promotions
- A named person places the orders
We stop and tell you if
- The sheet's formula is not written down
- The monthly exports stop arriving
- You want us to place orders
What could go wrong
The service reads what you send and reports. Nothing in your store or helpdesk is changed by us, so there is nothing to undo. Ending it leaves your systems as they are, and you keep every report we sent.
Scroll the table sideways to read it all.
| Risk | How we handle it |
|---|---|
| The sheet is relied on when the baseline is better. | The note says which method won on the latest eight weeks, and hands over the baseline when the sheet loses. |
| A promotion distorts a month. | You tell us of promotions; unmarked spikes are listed as unexplained. |
A separate automated reviewer checks the work and the test results before hand-over. Your named person recomputes ten SKUs when asked and places every order. No human supervisor from us is included unless your agreement names one, and at launch the work is largely automated.
Stays with a person
- You place every order
- You approve any change to the formula
Access we would need
- A monthly anonymised export of order lines and stock that you send
Questions
Is this a forecast?
It is a reorder sheet from your recent sales, tested each month against a simple average.
Will you order for me?
No. You place every order.
Does a clean report mean nothing is wrong?
No. It means nothing was found in the inputs you sent, by the checks listed here. It is not assurance, and it does not replace your own checking.

Send us
- How you export order lines and stock monthly
- How many SKUs
- Which suppliers' lead times change most
- No store login
Later, once you agree
- The current sheet and formula
- A monthly export through an agreed secure route
- Lead-time and promotion notes when they change
- The name of the person who orders
You keep your store, your helpdesk and every login. We work on the files you send through a secure route agreed after you say yes, and hand back files and a report. We never ask for store or helpdesk logins, and nothing goes live until your named person applies it.
