Wix form notifications: the automation behind the email and why its recipient goes stale

Wix emails form submissions through an automation. The recipient list lives there, not in the form, so changing an account email or a collaborator does not change who gets the message.

The form is not what sends the email

On Wix, a form submission triggers an automation, and the automation sends the email. By default it emails the site owner. That is why changing something on the form itself, such as a field or the thank-you message, does nothing to who is notified: the recipients live in the automation's email action, under its recipients setting.

To read it, open Automations in the site dashboard, open the automation for the form and look at the Send an email action. You can add more addresses or recipient groups there. To send to people who are not collaborators on the site, Wix says to add them as contacts first.

  • Find the automation by the form's name.
  • Read the recipients field exactly as saved, including spelling.
  • Check for an extra action that shows the submission in the Wix Inbox.

Why the recipient goes stale

Wix states that changing your account email does not update existing form automations, so notifications keep going to the address that was entered when the automation was created. Check each automation after any such change of contact details. The form works and the submissions are stored, but the message goes to a mailbox nobody reads.

A second trap is identical sender and recipient addresses. Wix notes that some mail providers treat that as spam, so use a different recipient from the sender. Collaborators who should receive Inbox messages also need the right Inbox permissions under Roles and Permissions.

  • Edit each relevant automation after any email change; there is no site-wide setting that does it.
  • Use a recipient that differs from the sender address.
  • Confirm collaborators have Inbox permission if they are the recipient group.

Spam folders, allow lists and republishing

If the recipient is right, look in the spam folder for the messages that Wix says come from no-reply@wixsiteautomations.com or reply-to@wixforms.com. Wix also lists sender domains to allow at your mail provider (automations.ascendbywix.com, crm.wix.com and wixforms.com, each with the asterisk) and one address, no-reply@test.wixshoutout.com. After allow-listing each, republish the site.

Inbox messages follow the same steps, but there is a limit: messages that come through the Wix Inbox, including pre-chat forms, only send a prompt to check the Inbox rather than the message. Wix's workaround is a custom automation that uses the chat message summary value.

  • Allow the sender domains with the asterisk, as Wix writes them.
  • Republish after each allow-list change.
  • Do not rely on the Inbox prompt email for the full message.

What does not fit, and acceptance

If the submission is not stored at all, the cause is earlier in the chain. A form made by another service, an app that replaced the automation, or a mailbox that rejects Wix outright is a different problem, and no one can promise inbox placement at a provider they do not control.

The fixed-scope repair of one form is priced at £145 as an untested proposal and paid only after you sign off. It is accepted when a labelled test from the published page is stored and arrives at the named address, every field is present, and the automation's old and new recipients are listed.
