Standing service email-opt-outs-honoured-everywhere-checked-monthly · revised 12 October 2026
Standing service
Re-test every month that an unsubscribe in one email tool stops all of them
Each month the opt-out matrix is re-run with a test contact in up to four tools, the re-import trap is repeated, and any tool that no longer suppresses is named.
This starts a conversation by email. Nothing is charged, and nothing is run on your data, until we have agreed scope, access and terms with you in writing.
The responsibility you hand over
Opt-out sync between tools breaks when a tool is updated, a field is renamed or a list is re-imported. The one-off test passed on the day, and nobody re-runs it. The first sign is a complaint.
Who it’s for: Marketing manager with several email tools who needs to know the opt-out still works after changes.
Usually starts when: A tool was added or updated and nobody has tested whether an unsubscribe still reaches the others.
The result: Every month the opt-out matrix is re-run with a test contact in up to four tools, the re-import trap is repeated, and any tool that no longer suppresses the contact is named in the record.
What stays true, and what we do about it
No response-time guarantee is published for this new service. A target for delivering each list or record is agreed in writing before it starts, set to what a service at this stage can actually keep.
Hours are agreed in writing before the service starts. At launch the service is not staffed round the clock and runs on the cycle named here.
What must remain true
- Each month we test that opting out in any one tool suppresses the test contact in the others within the agreed time, and name any tool where it does not
- Re-importing the original list does not re-subscribe the contact
What we watch
- A test contact in every tool
- The tools' send logs

| When | What we do |
|---|---|
| A month closes. | We re-run the matrix and send the record. |
| A tool fails to suppress the test contact. | We name it first in the record with the timestamps and the setting to check. Linked job: Opt-outs honoured across email tools |
| A new tool is added to your stack. | We ask to add it to the matrix, and cover up to four tools. |
We do on our own
- Re-run the matrix with test contacts
- Prepare the record
- Offer a fixed job as a next step
We ask you first
- Any change to a rule, a threshold or the data covered
- Any request for wider access to a system
- Starting any fix, merge, send or write
We escalate to you when
- A tool fails to suppress the test contact
- A tool is replaced and the suppression route is unknown
- A test mail reaches a mailbox that is not yours
How you know it held. Each month the record shows the matrix with timestamps and the send logs behind it, which you can check in each tool.
How we keep it true
This service is never finished. Each period's record shows whether the thing it watches stayed true, and it continues until you end it.
Make sure an unsubscribe in one email tool stops email from all of them Job Optional
A test contact that opts out in any one of up to four tools cannot be emailed from any of them, and the opt-out is recorded with date and source. A rules job, not an AI one.
Bought separately; not part of the monthly fee
Needed first, priced on its own page: the one-off matrix and set-up.
What is included, and what is not
- The monthly matrix with timestamps
- The re-import trap result
- A note naming any failing tool
- The record
Included
- The same up to four tools and one test mailbox as the one-off job
- The full matrix of opt-out source by sending tool, re-run
- The re-import and re-subscribe traps
- A dated record of results
Not included
- Legal advice on consent or marketing rules
- Sending to real subscribers
- Changing any tool's settings
- More than four tools
- Transactional message rules
How we know it’s done
Agreed with you before work starts. Each check produces evidence you keep.
Every cell of the matrix shows suppression in the other tools within the agreed time.
Evidence: The matrix with timestamps.
A re-import of the original list does not re-subscribe the test contact.
Evidence: The import log and the contact status.
Any failing tool is named in the record with the evidence.
Evidence: The monthly record.
Sign-off. You read each monthly matrix record and tell us whether the rules, thresholds and test set still suit you. A period counts as delivered when you have received the record.
If it fails. If we cannot complete a period because an input is missing or has changed shape, we say so, explain what we need and do not guess. If the service is not working for you, you can end it at the end of any month.
When it fits, and when we stop
It fits when
- The one-off matrix has been run, or is bought with this service
- The test mailbox is still yours
- An admin in each tool acts on any failure
We stop and tell you if
- A tool no longer allows a suppression route and you will not run a manual export
- The tools are shared with another firm
What could go wrong
The service only tests and reports. It changes no setting in your tools; the test contact is the only record it creates, and you can delete it.

| Risk | How we handle it |
|---|---|
| A tool changes how it suppresses | The monthly re-run is the check for that change. |
| A test mail reaches a real person | Tests use only mailboxes you own. |
| The result is read as legal compliance | The record says it is a technical test and not legal advice. |
A separate automated reviewer checks each monthly matrix record before it is sent, and no person on our side reviews unless your agreement names one. Your admin in each tool applies any fix. At launch the work is largely automated, and we say so.
Stays with a person
- Your admin in each tool applies any fix
- You decide whether to add a tool
Access we would need
- In each tool, the narrowest role that can create a test contact and read its suppression list, in test mode and revocable by you
Questions
Is this an AI service?
No AI decides anything about your subscribers. The checks are rules and tests, run by automated systems.
Do you email my subscribers?
Never. Test addresses only.
Is this legal advice?
No. It tests that your tools do what your policy says.

Send us
- Any tool added, replaced or reconfigured last month
- The test mailbox
- Who reads the record
Later, once you agree
- In each tool, the narrowest role that can create a test contact and read its suppression list, in test mode and revocable by you
- The agreed suppression time
- A secure handoff route agreed before any access
You keep every tool. We use a test contact at a mailbox you own and, in each tool, the narrowest role that can create that contact and read its suppression list. The role is revocable by you, and used in test mode where a tool has one.
