Job open-quote-follow-up-drafts-for-your-sales-owner-to-send · revised 12 October 2026

See which quotes have gone quiet, with a follow-up draft you can send

Each week the quote owner gets open quotes with no reply after the number of days you set, each with a draft using only that quote's own facts. The owner sends or discards; we mail no one.

You might be seeing

  • Old quotes sit open for months with no note
  • Follow-ups depend on who remembers

No passwords, keys, card details or admin invites needed to start.

What usually happened

Quotes go quiet and chasing depends on memory. A tool that mails buyers alone can chase the wrong people, repeat itself or add a discount nobody approved. Sequences sent to people who never asked for a quote are marketing with its own consent rules.

Who it’s for: Owner or sales manager of a small firm that sends quotes and chases them from memory.

Usually starts when: Quotes go out, replies stop, and nobody chases until the buyer has gone elsewhere.

The result: Each week the quote owner receives the open quotes with no reply after the number of days you set, each with a short draft that uses only that quote's own facts. The owner sends or discards each draft. The system mails no one.

  • Legal advice on consent
  • Cold outreach of any kind

How we know it’s done

Agreed with you before work starts. Each check produces evidence you keep.

  1. In a seeded sandbox of five quote types with at least 4 seeded quotes of each type, only the due ones are listed, and every quote is classified right.

Evidence: The seeded quotes and the list.

  2. On every draft in the test set (checked by script), and in up to 20 drafts read by your owner (all of them if fewer), every amount, date and item equals the quote record.

Evidence: The drafts and the records side by side.

  3. In the trap set, no draft adds a discount, deadline or claim absent from the record.

Evidence: The trap set and the drafts.

  4. The send log is empty, listed plus excluded quotes equal all open quotes in the test set with a reason for each exclusion, and no quote gets more reminders than the cap.

Evidence: The send log, the listed and excluded counts with reasons, and the reminder counts.

Sign-off. You re-run the test yourself, check the list of severe errors and sign off in writing. Payment follows sign-off.

If it fails. If the agreed pass mark is not met, we say so, hand over the results and the failures, and do not call the output working. You do not pay for this scope; we agree whether to stop or re-quote.

When it fits, and when we stop

It fits when

  • The recipient asked for the quote, or is a customer or a negotiated-sale contact
  • Quote records hold items, amounts, dates and status
  • A named owner sends or discards each draft
  • Real records are read only after a written agreement that covers how your records are processed and a separate access step you control; until then we test on invented or redacted data.

We stop and tell you if

  • The list holds people who never enquired
  • You want multi-step cadences to non-customers: that is outbound marketing
  • Quotes are not recorded anywhere we can read

What could go wrong

You switch the workflow off and delete the drafts. Nothing was sent, so nothing needs recalling.

Scroll the table sideways to read it all.

RiskHow we handle it
The wrong people are chasedSeeded eligibility cases must all be classified right, and opted-out and never-requested quotes are excluded.
A draft invents a discount or a deadlineA trap set must produce no draft that adds a term absent from the quote record.
Consent rules are misreadA person sends every message to people who asked for a quote. This is not legal advice.

A separate automated reviewer checks the list, the drafts and the send log before hand-over, and no person on our side reviews unless your agreement names one. Your quote owner sends or discards every draft. At launch the work is largely automated, and we say so.

How we deliver

We arrange the work and independent review, then show you the result against the agreed checks. You keep authority over your systems.

  • Agree the quiet-days rule, the reminder cap and the exclusions in writing
  • Build the list and the draft step on a sandbox copy
  • Seed due, not-yet-due, replied, opted-out and never-requested quotes
  • Run the seeded set, plus traps that tempt a draft to add terms
  • Independent automated review of the list, drafts and empty send log
  • Hand over the workflow; you switch it on

This is a one-off job, not a subscription or emergency cover. We confirm eligibility, price, a start window and a delivery date before you accept, and work starts only after agreed inputs and access are in place. Nothing is sent, merged, posted or changed in your live systems by us, and an enquiry creates no charge or booking.

Need to keep it working?

Discuss a weekly quiet-quotes list that keeps running.

Ongoing work is separately scoped and quoted: no monitoring, response-time guarantee or automatic subscription is included in this job.

Mention the responsibility you need in your enquiry.

What you can check

This is a new service. We have not delivered this job for a client yet.

Other ways to get this done

  • Native tasks and sequences in your CRM can remind a rep to chase a quote. Use them if your owner already works from tasks.

Questions

Does it email my buyers?

No. It prepares drafts and a list. Your owner sends or discards each one.

Can it chase people who never asked for a quote?

No. That is outbound marketing and out of scope.

Does the draft offer a discount?

Never. A draft uses only what the quote record says.

Send an enquiry

Send us

  • Where quotes are recorded and what a quote record holds
  • How many open quotes there usually are
  • How many days of silence should count as quiet

Later, once you agree

  • A read-only quote or deal export, or a read-only user you can revoke
  • The opt-out list
  • A secure handoff route agreed before any record is shared

You keep the CRM and every message. During the build and test we read quote records and write drafts as tasks or rows you choose; once you switch the workflow on, it runs in your own tools. Which service reads your records is agreed in writing before any real record is shared; the entry test uses invented or redacted data, or your own provider account.
