Standing service quiet-quotes-follow-up-list-every-week · revised 12 October 2026

Standing service

Get a weekly list of quotes gone quiet, with a follow-up draft for each

Each week the quote owner gets open quotes with no reply after the number of days you set, each with a draft using only that quote's facts. The owner sends or discards; we mail no one.

This starts a conversation by email. Nothing is charged, and nothing is run on your data, until we have agreed scope, access and terms with you in writing.

The responsibility you hand over

Quotes go quiet every week, and chasing depends on memory. A tool that mails buyers alone can chase the wrong people or invent terms. Consent and opt-out rules change what may be sent.

Who it’s for: Owner or sales manager who sends quotes and wants a steady weekly reminder.

Usually starts when: The one-off set-up worked, and chasing needs to happen every week.

The result: Every week the quote owner receives the open quotes with no reply after the number of days you set, each with a short draft that uses only that quote's own facts. The owner sends or discards each draft, and we mail no one.

What stays true, and what we do about it

No response-time guarantee is published for this new service. A target for delivering each list or record is agreed in writing before it starts, set to what a service at this stage can actually keep.

Hours are agreed in writing before the service starts. At launch the service is not staffed round the clock and runs on the cycle named here.

What must remain true

  • Only due, eligible quotes are listed each week
  • No draft adds a term that is not in the quote record

What we watch

  • The weekly quote export
  • The opt-out list

WhenWhat we do
A week closes. We send the list and drafts.
Linked job: Quiet quotes with follow-up drafts
A quote has reached the reminder cap.We drop it from the list and say so.
A listed person is on the opt-out list.We exclude them and flag the mismatch.
A draft would add a term not in the record. We block the draft and flag it.

We do on our own

  • Build the list and drafts
  • Apply the exclusions
  • Flag mismatches

We ask you first

  • Any change to a rule, a threshold or the data covered
  • Any request for wider access to a system
  • Starting any fix, merge, send or write

We escalate to you when

  • A quote is listed for someone who never requested it
  • The send log is not empty
  • The opt-out list is missing

How you know it held. Each week listed plus excluded quotes reconcile to all open quotes, with a reason for each exclusion, and the send log is empty

How we keep it true

This service is never finished. Each period's record shows whether the thing it watches stayed true, and it continues until you end it.

  1. See which quotes have gone quiet, with a follow-up draft you can send Job Optional

Each week the quote owner gets open quotes with no reply after the number of days you set, each with a draft using only that quote's own facts. The owner sends or discards; we mail no one.

Bought separately; not part of the monthly fee

Needed first, priced on its own page: the one-off set-up, rules and tests.

What is included, and what is not

  • The weekly list and drafts
  • The exclusion check
  • The reminder counts
  • A monthly summary

Included

  • The list rules and exclusions from the one-off job
  • A weekly list of due quotes and drafts
  • A reminder cap per quote
  • A weekly check that opted-out and never-requested quotes are excluded

Not included

  • Sending any message
  • Cadences to people who never asked for a quote
  • Discounts, deadlines or claims not in the record
  • Legal advice on consent
  • Cold outreach

How we know it’s done

Agreed with you before work starts. Each check produces evidence you keep.

  1. Only due, eligible quotes are in each weekly list.

Evidence: The list against the seeded and live quote records.

  2. In a sample of 10 drafts a week, every amount, date and item equals the quote record.

Evidence: The drafts and records side by side.

  3. The send log is empty and no quote exceeds its reminder cap.

Evidence: The send log and the counts.

Sign-off. You read each weekly list and drafts and tell us whether the rules, thresholds and test set still suit you. A period counts as delivered when you have received the record.

If it fails. If we cannot complete a period because an input is missing or has changed shape, we say so, explain what we need and do not guess. If the service is not working for you, you can end it at the end of any month.

When it fits, and when we stop

It fits when

  • The one-off job has been run, or is bought with this service
  • The recipient asked for the quote, or is a customer or a negotiated-sale contact
  • Real records are read only after a written agreement that covers how your records are processed and a separate access step you control; until then we test on invented or redacted data.

We stop and tell you if

  • The list holds people who never enquired
  • You want multi-step cadences to non-customers
  • Quote records stop being readable

What could go wrong

The service only drafts and reports. You switch it off at any time and delete the drafts.

RiskHow we handle it
The wrong people are chasedA weekly exclusion check lists opted-out and never-requested quotes.
A draft invents termsDrafts use only the quote record, and a mismatch blocks the draft.
Consent rules are misreadA person sends each message to people who asked for the quote. This is not legal advice.

A separate automated reviewer checks each weekly list and drafts before it is sent, and no person on our side reviews unless your agreement names one. Your quote owner sends or discards every draft. At launch the work is largely automated, and we say so.

Stays with a person

  • Your quote owner sends or discards every draft
  • You approve any rule change

Access we would need

  • A weekly quote export, or a read-only user you can revoke

Questions

Does it email my buyers?

No. Your owner sends each draft.

Can it chase cold contacts?

No. That is outbound marketing.

Do I need the one-off job?

Yes, it sets the rules. It is priced on its own page and is not in the monthly fee.

Send an enquiry

Send us

  • Quotes sent and won last week
  • Any change to the opt-out list
  • Who sends the follow-ups

Later, once you agree

  • A weekly quote export
  • The current opt-out list
  • A secure handoff route agreed before any record is shared

You keep the CRM and every message. We read the weekly quote export and write drafts as tasks or rows you choose. Which service reads your records is agreed in writing before any real record is shared.

Sending emails your enquiry and contact address to our team through our mail provider (Resend). It is not kept in a website database.
