Managed lane
Monthly revenue-operations lane: CRM lists, held junk leads, mail checks and an allowance
For one CRM: monthly data-quality lists, tested junk-lead holds, mail-sending checks, checked report notes and up to two bounded items a month. Proposed GBP 985 a month; scope by written proposal.
An enquiry starts a fit and scope conversation, not a contract, payment or reserved place. No logins, exports, customer data or account invitations initially.
What the lane takes off your plate
A CRM needs steady small attention: owners on new leads, junk held, duplicates and dead deals listed, mail checked and reports described correctly. Hiring for each item is slow, and leaving them means the next problem arrives as a lost lead or a complaint. Tools that act alone on live records can do damage that cannot be undone.
Who it’s for: Head of sales, marketing or customer success, or a founder, at a 10 to 200 person B2B firm with no dedicated revenue-operations hire, authority to approve changes and a CRM that people have stopped trusting.
Usually starts when: Leads or renewals fall through, reports are argued over, and nobody owns the steady care of the CRM and the mail around it.
The result: For one CRM, each month your lead owners, junk-lead holds, data-quality lists, mail-sending checks and report commentary are kept tested and reported on, and up to two bounded items you choose from a defined list are delivered and accepted, with a written summary. We propose, test and report; your people approve and apply every change, except the one small monthly lead-routing repair, made with the edit access and approval set out on that service's page.
What the lane is made of
Each included service has its own monthly record, and each item has agreed acceptance criteria and an accept-or-revise decision. Two is a monthly ceiling, not a completion guarantee. The arrangement continues only under agreed renewal terms.
Weekly HubSpot check that new web leads have an owner, plus one small repair a month Standing service Included
Each week we check new HubSpot web leads for an owner, duplicates and sync errors, investigate every problem and make up to one small repair a month, tested on synthetic records.
Every month, for the named CRM
The same standing service you can buy on its own at its listed price. It needs a written rule table and a named fallback owner, or the routing repair (GBP 245) first, which uses the allowance. Its one small monthly repair is made with edit access and your approval.
Keep your bot-lead hold rules tested every month, with the held list reviewed Standing service Included
Each month the seeded set is re-run, the held list and a sample of routed leads are checked, the release rate is reported, and rule changes wait for your approval.
Every month, for one form path
The same standing service you can buy on its own. It needs the one-off hold job (GBP 295) first, which uses the allowance, so the re-test starts after that job.
Get a monthly list of CRM duplicates, dead deals and blank fields, with evidence Standing service Included
Each month you get the duplicate groups still outstanding, the open deals that match your stale rules and the blank fields with proposals waiting, each with evidence. We change nothing.
Every month, up to 20,000 contacts and companies, 5,000 open deals and 5,000 blank-field rows
The same standing service you can buy on its own at its listed price. It needs the three one-off lists first (starting prices GBP 245, 149 and 295), which use the allowance, so it starts from the third or fourth month unless you have run them.
Check every month that all your mail sources are set up and nothing odd sends as you Standing service Included
Each month a written record shows each sending source authenticated, unknown senders listed, the spam rate against Google's limit and one-click unsubscribe present. Mostly rules and checks.
Every month, one domain
The same standing service you can buy on its own at its listed price.
Get each month's report commentary written, with every number proved from the tables Standing service Included
Each month your report gains a short commentary where every figure comes from a computed table and a script proves it. Causes appear only if you supplied them in the reasons file.
Every period, one report pack of up to six tables
The same standing service you can buy on its own at its listed price. It builds on the one-off commentary job (GBP 149), which uses the allowance and runs first.
Make every new HubSpot lead land with the owner your rules name Job Optional
Synthetic leads land with the owners your written rules name, an unmatched lead lands with a named fallback owner, and a user removed from the pool receives none.
Within the two monthly items and the GBP 450 allowance, once at the start, if you have no written rule table
Needed first for the weekly lead-ownership service when no rule table exists.
Hold bot leads from your web forms for review, without deleting any of them Job Optional
Submissions that match junk rules you approve are held in a review view, not routed or counted. A test of 30 junk and 30 genuine invented submissions checks that no genuine one is lost.
Within the two monthly items and the GBP 450 allowance, once at the start
Find duplicate contacts and companies in your CRM, and check them before any merge Job Optional
You get duplicate groups in three bands, each with the fields that matched and a pre-merge export. We merge nothing: your admin decides and merges.
Within the two monthly items and the GBP 450 allowance
Fill your blank industry, country and lead-source fields, but only the changes you approve Job Optional
For up to three blank fields you name, you get a change file with a proposed value and source per row. Only the rows or bands you tick are applied, with a rollback file.
Within the two monthly items and the GBP 450 allowance
See which open deals are really dead, with the evidence for each Job Optional
You get a list of open deals that match rules you approve, ranked by days since the last activity, each with its evidence and one proposed action. Nothing is written to your CRM.
Within the two monthly items and the GBP 450 allowance
Document every custom CRM field and see which ones nobody uses Job Optional
You get a data dictionary of every custom property, with fill rates and where each is used, plus a list of fields that look safe to retire. No changes made.
Within the two monthly items and the GBP 450 allowance
See which pages are losing traffic and what to do with each Job Optional
A list of pages whose clicks or impressions fell, with query-level evidence, pairs of pages competing for one query, and one proposed action each. We publish nothing.
Within the two monthly items and the GBP 450 allowance
Link up to 300 pages from related pages so none is left orphaned Job Optional
For up to 300 URLs, a crawl against your page list shows no orphan and at least the agreed number of contextual links into each page. Every link is one you ticked.
For up to 300 addresses. Its listed price (GBP 295) leaves GBP 155 for one smaller item
Add the paragraph of commentary to my monthly report, and prove every number in it Job Optional
Your existing report gains a short commentary where every figure is copied from a computed table and a script proves it. No cause is stated unless you supplied it.
Within the two monthly items and the GBP 450 allowance
Get a security questionnaire drafted only from your own approved answers Job Optional
A customer's security questionnaire returned in their format as a first draft. Every answer cites your own approved answer or policy, and anything unsupported is left blank for a named person.
Within the two monthly items and the GBP 450 allowance, for one questionnaire of up to 150 rows
Get a reusable library of security answers built from your own policies Job Optional
A sheet of 50 to 150 question-and-answer pairs covering the usual security questions. Each answer cites your policy page or an owner's written confirmation, and gaps are listed, not filled.
Within the two monthly items and the GBP 450 allowance, once at the start
Stop web-form leads creating duplicate HubSpot contacts and companies Job Each time it fires
Synthetic submissions through one HubSpot form or API integration give the agreed counts: one contact for a repeat email, one company for two people at one domain, and no merging of different people.
Within the two monthly items and the GBP 450 allowance
Used when new duplicates keep arriving from one form path.
Make one HubSpot and Salesforce field sync the way you agreed Job Each time it fires
For one mapped field, a change on a synthetic test record crosses in the agreed direction, stays after the sync settles, and raises no sync error.
Within the two monthly items and the GBP 450 allowance
Used when a field changes back after a sync.
Hook up failure alerts for up to five automations so a named person is told Job Each time it fires
A deliberate synthetic failure in each of up to five automations raises an alert that reaches a shared mailbox or channel read by a named owner and a named backup.
Within the two monthly items and the GBP 450 allowance
Test your key tracking events on a schedule, with a monthly report Standing service Each time it fires
We run your named test events on the live site on an agreed schedule and tell you with evidence when one stops firing or changes.
Bought separately
A separate monthly service, not part of the lane fee.
Make sure an unsubscribe in one email tool stops email from all of them Job First
A test contact that opts out in any one of up to four tools cannot be emailed from any of them, and the opt-out is recorded with date and source. A rules job, not an AI one.
Before any message is drafted for a person to send; within the GBP 450 allowance if you buy it
Needed first wherever a draft-for-a-person service is in scope; its monthly re-test is a separate service.
How an engagement works
One CRM, one active item at a time and at most two agreed bounded items a month, worth up to GBP 450 at their listed one-off prices. Two is a ceiling, not guaranteed completions, unlimited throughput or a fixed turnaround. Size, timing, cycle and capacity are confirmed in writing; none is promised on this page.
How it starts
You send the CRM description, the lead paths, the backlog and your response to the proposed monthly price, without exports or logins.
We confirm fit, the access route, who approves and who applies changes.
We agree the monthly scope, the cycle, the item sizes, the timing and capacity, the price, the payment terms and the cancellation terms in writing.
Each month we send the records and lists, deliver the chosen items and send the summary.
Who decides what
You choose items and accept them. Your administrator applies every change to your CRM, workflows, mail settings and ads, except the one monthly lead-routing repair, made with the access and approval on that service's page.
Handover
Each accepted item arrives as a list, file or set of steps with its evidence and undo steps. Unfinished items are handed back with notes if the arrangement ends.
Sharing your product safely. Initial contact uses the CRM description, public links and your backlog. No exports, logins, recordings or customer data. Private access follows only after a safe handoff and written terms.
What is included, and what is not
- The monthly lists, records and commentary
- Each accepted item with its evidence
- A monthly summary with the counts: new leads owned at the weekly check, junk held and released, duplicates outstanding, stale deals listed, spam rate, unknown senders
- The count of our lists that your people acted on
Included
- One CRM, one sending domain and one report pack
- The monthly lead-ownership check, junk-lead hold re-test, data-quality lists, mail-sending check and report commentary, with up to one small lead-routing repair a month made with your approval; HubSpot for the lead-routing service
- Up to two bounded items a month, one active at a time, from the listed jobs. A bounded item is one listed job at no more than its starting scope, and the two together are worth no more than GBP 450 at their listed one-off prices (starting prices for jobs priced "from"); a larger item is quoted separately
- Four of the included monthly services need a one-off job run first: the routing repair (GBP 245) if you have no written rule table, the commentary job (GBP 149), the junk-lead hold job (GBP 295) and the three data-quality lists (starting prices GBP 245, 149 and 295). Those jobs use the monthly items and the GBP 450 allowance, so with none run yet the full set of monthly services is not running before about the third or fourth month
- A written proposal that fixes the cycle, the expected timing of each item and the monthly capacity
- A monthly summary of what was tested, delivered, held and acted on
Not included
- Merging, deleting or bulk-reassigning records, or changing a live workflow, sequence or property: your administrator does that. The one exception is the lead-routing service's monthly repair, made with the edit access and approval set out on that service's page
- Sending any message to a person, or posting a review reply
- Changing an ad budget, bid or campaign
- Recording or joining a call, or buying, scraping or enriching person-level data
- A questionnaire answer your named approver has not approved, or any certification or compliance claim in a questionnaire
- Any promise about revenue, pipeline, conversion, win rate, response time, forecast accuracy, search ranking or inbox placement
- Out-of-hours cover or any guaranteed response time
How we know it’s done
Agreed with you before work starts. Each check produces evidence you keep.
Each month every included service delivers its own record, and each record meets the acceptance checks of the matching standing service.
Evidence: The monthly records compared with the checks on each service page.
Each delivered item meets the acceptance checks of the matching job and is accepted or sent back by you.
Evidence: The item's evidence and your recorded decision.
Each month no more than two items were delivered or started, and their listed one-off prices add up to no more than GBP 450.
Evidence: The monthly summary, listing each item with the job it matches and that job's listed price.
The monthly summary reports how many of our lists your people acted on, and no change was made in your systems by our access other than the approved lead-routing repair.
Evidence: The summary and your own audit logs for the month.
Sign-off. You read each record, accept or send back each item and read the monthly summary.
If it fails. A blocker is raised with a substitute item, revised timing or a stop. Work that does not meet its criteria is not claimed as delivered. Billing for incomplete work is agreed before starting.
When it fits, and when we stop
It fits when
- One CRM and an administrator who can approve and apply changes
- A written agreement that covers how your records are processed and a separate access step you control, before any real record is read
- A named approver for the lists and the items
- At least three months of CRM history
We stop and tell you if
- You want outbound sending, autonomous writes to the CRM or a revenue guarantee
- Your people do not act on the lists for three months running
- The agreed items regularly exceed two a month or GBP 450 of listed jobs, so we agree a different scope
- The records hold special-category data
What could go wrong
We change test copies only, apart from the one monthly lead-routing repair, made with the edit access and approval on that service's page and described in change notes with the previous settings. Each accepted item carries undo steps, and your administrator can reverse it as for any change. Ending the arrangement leaves your systems as they are.
Scroll the table sideways to read it all.
| Risk | How we handle it |
|---|---|
| The lane is read as autonomous CRM management | It lists what it never does alone, and your administrator applies every change except the one approved monthly lead-routing repair. |
| Lists are produced and ignored | The monthly summary reports how many of our lists were acted on, so a lane that proposes and is ignored is visible. |
| The allowance is read as unlimited help | The proposal states two bounded items a month worth up to GBP 450 at listed prices, one active at a time; extra or larger work is quoted. |
| Real records are read before the right agreement exists | A written agreement covering how records are processed and a separate access step come first; until then tests use invented or redacted data. |
Each record and item is reviewed by a separate automated reviewer before it is sent, and no person on our side reviews unless your proposal names one. Your named approver approves every list and item. At launch the work is largely automated, and we say so.
Stays with a person
- You or your named approver approve every list, rule and item
- Your administrator applies every change, merge, send and write, except the one monthly lead-routing repair, which you approve first
- A named person sends every message to a person
Access we would need
- Read-only exports or read-only users for the named systems
- For the lead-routing service only: the least HubSpot access that lets us edit the named workflows, form settings and mapping rules, which you create and can revoke
- Test portals, test mailboxes and synthetic records for tests
Questions
Is this a full revenue-operations team?
No. It keeps a defined set of checks and lists running, and delivers up to two small items a month. Your administrator applies every change.
Does it email my leads or change my CRM?
No. Nothing is sent to a person, and nothing is merged, deleted or changed by us apart from that one approved monthly lead-routing repair. Drafts and lists are for your people.
Can I buy the parts separately?
Yes. Every monthly service and every listed job is available on its own. The proposed lane price equals their listed prices added together at full use, so it adds one arrangement with a cycle and monthly capacity confirmed in writing, not a discount.
Do you promise more pipeline or revenue?
No. We report counts, such as leads owned and lists acted on. We promise no revenue, win rate or response time.
What about security questionnaires?
Yes, as optional items inside the monthly allowance: a first draft of a customer's questionnaire built only from your approved answers, or a reusable answer library built from your own policies. Every answer cites your own approved answer or policy, gaps are left blank for a named person, and no certification or pass is promised.
Start a conversation
Send us
- The CRM, its plan and roughly how many records and users it has
- The paths new leads arrive by, and the tools that send mail as you
- The backlog of small jobs you have in mind
- Who approves lists and items, and who applies changes
- Your response to the proposed monthly price
Later, once you agree
- Read-only exports or a read-only user for each system, set up and held by you; for the lead-routing repair only, the least HubSpot access that lets us edit the named workflows, form settings and mapping rules, which you create and can revoke
- The approved rule sheets, answer sheets and opt-out lists that apply
- A named person to contact when a list or item is held
- A company-controlled secure handoff agreed before access: no live passwords, keys or customer records by ordinary email
You keep the CRM, the domain, every sender and all passwords. We work from read-only exports or read-only users you can revoke, and on test copies; your administrator applies every change, except the one monthly lead-routing repair, which uses the least HubSpot access you grant and which you approve first. Which service reads your records is agreed in writing before any real record is shared.
